We are recruiting for an Administrative Specialist I in the Health Information Management HIM) section of Central Regional Hospital (CRH). 

The primary purpose of this position is to assist with all BO and FSU HIM duties. This position will also be responsible for Forensics Court as well as providing coverage for AO- Pre-Trial. The duties will include providing support to physicians in the processing and distribution related to forms required for court processes. Assurance needs to be provided so that the necessary procedures are carried out according to statute. Responsible for documenting commitment status changes and informing Data Management of such changes. Job duties include but are not limited to:

  • Medical record maintenance, which includes forms and template control; record assembly; filing contents of records, scanning records, as well as storage of records to ensure prompt retrievability.
  • Quantitative record review and reporting the results of these reviews to Division/Discipline Directors, responsible clinical staff, and Hospital Administration.
  • Maintenance of hospital census and related statistics to provide information to Hospital Administration for trending and planning; timely entry of patient movements to provide accurate information for the purposes of proper billing for hospital stays.
  • Liaison between clinical staff and legal personnel facilitating the proper processing of commitment status changes, as well as requests for competency hearings and guardianship assignments.
  • Release of patient information according to confidentiality rules and regulations as stated in NC law, Federal law, HIPM regulations, and DMHDDSAS regulations. The Health Information Management Department is a central area of expertise in this area and provides guidance to the remainder of the hospital staff.
  • Provide forms/template control services; establish and maintain an inventory of medical record forms; ensure that hospital policies and procedures incorporate appropriate forms/templates to meet the standards of the policies; inform appropriate hospital staff of new forms or forms/template changes.
  • Provide staff support and assistance to the Medical Record Committee, Information Management Committee, Privacy Official Wor1( Group, Forms and Template Management Committee, and any other organizations addressing medical record-related issues.
  • Provide staff support in the preparation and facilitating of surveys by outside agencies which include Joint Commission on Accreditation of Healthcare Organizations; Centers for Medicare and Medicaid (CMS); Medical Review of North Carolina (MRNC or PRO); Mental Health Management of America; Office of Inspector General; Divisions of Medical Assistance and Facility services (Medicaid). Health Information Management staff are to provide services which support the Hospital Administration’s goal of continuous compliance with standards.

The normal work hours for this position are Monday – Friday, 8am-5pm; however, flexibility is required to meet hospital needs. This is a full-time position and eligible for the full State benefits package, including health insurance and retirement.

Knowledge, Skills and Abilities / Competencies

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience;

equivalent combination of education and experience.
