Assistant Document Control & Information Management (The Hague)

Background:
Air Products (AP) Global Engineering organisation is currently executing projects delivering industrial gas facilities for several clients in the Europe, Middle East and India regions. To ensure our projects are successfully executed, Document Control plays a major part to ensure that current and reliable information is available through each phase of a project.
For the Rotterdam Terminal Project, we have two open positions for an Assistant Document Controller focussing on Document and Information Management for approximately three months. Both positions are based in the AP office in The Hague.
General Role:
The Assistant Document Controller will support the Document Control Department of EMEA under the direction of the Document Control Manager and the Lead Document Controller of the Rotterdam Terminal Project.
The Assistant Document Controller will learn how to use our Document Management System (DMS) which automates the control and tracking of all documents managed according to AP document control procedures.
The Assistant Document Controller will improve the quality of the document properties required in the system to ensure current and reliable information related to health, environment and safety is available to the right people at the right time.
Learning Scope and Experience:
- Learn about the vision and culture of Air Products.
- Understand the various phases of an EPC project.
- Understand the importance of Information and Document Management.
- Understand the basic functionalities of AP’s Document Management System.
- Understand the Document Control Process through each phase of a project.
- Understand the purpose and f functionalities of the DMS related tools: Core-Share, SharePoint.
- Understand the purpose and how to monitor progress of a project by using Qlik Sense.
- The necessity of Quality Assurance during the full Document Control Lifecycle.
Requirements and Responsibilities:
- Run weekly status reports from the DMS and Monitoring Tool to monitor progress.
- Expedite overdue dates and inform responsible Review Actors of each discipline.
- Engage with stakeholders to identify the appropriate document properties in the DMS.
- Engage with stakeholders of the project to ensure current and reliable information is captured in the DMS.
Skills Required:
- Effective communication skills both verbally and in writing.
- Effective analytical skills.
- Accuracy and precision.
- Typing skills.
- Proficient in the use of MS Office applications (Word, Excel).
- Proficient in English, read, write and speak.
