Join our Animal Health International team as an Office Manager!
The Office Manager is responsible for:
- Supports company operations by maintaining office systems and hiring & supervising staff.
- Answer telephone and greet visitors.
- All areas of customer service including receiving orders over the phone, fax, or email; entering and processing all orders including handling, compiling, matching shipping documents, and filing all records; confirming and invoicing on third party websites as required by specific customers; and working to resolve any issues.
- Provide historical reference by following procedures for retention, protection, retrieval, transfer, and disposal of records.
- Working closely with sales representatives to provide any information or support needed
- Provides training for new hires as needed
- Provide any support needed by customers for information or paperwork.
- Processing any check payments received by completing deposits or forwarding to lock box for deposit.
- Assume duties of other warehouse office managers during PTO and other absences.
- Participates in physical inventories as needed including data input
- Negotiates the purchase of office supplies and equipment; oversees shipping and receiving of supplies and equipment
- Conducts regular reviews to determine comparative costs in the use of various office equipment and systems
- Prepares appropriate requisitions and negotiates contracts for the maintenance of office equipment
- Oversees the maintenance and alterations of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities
- Responsible for the inventory of office furniture and office equipment
- Performs other office duties as required.
Qualifications
- High school diploma or equivalent
- Three years of experience working in an office environment
- Working knowledge of office management protocols and procedures
- Strong organizational skills, including proven ability to multi-task and prioritize daily work with limited direction
- Good written & verbal communication skills
- Proven customer service (internal and external) skills, including in person, on the phone, and over email/other other online platforms
- Exceptional proficiency in Microsoft Office as well as specialized accounting software and SAP
- Supervisory experience preferred
