The Faculty of Biology, Medicine and Health has three Schools, each of which has six academic Divisions. Each School has an Operations team comprising of Professional Services (PS) staff who provide operational support to the School’s administrative and academic activities.
The post of Operations Administrative Assistant will assist the Operations team with the day to day running of the operational area. The Operations team works closely with other business areas across the School, Faculty and the University to ensure continuity of service and working to the highest standards to deliver day to day operational activity, supporting the School’s reporting responsibilities as well as contributing to and undertaking business improvement tasks and initiatives. The Operations team are required to work collaboratively and collegially to share best practice and take a proactive approach to ongoing personal and professional development.
The Operations Administrative Assistant is an operational role that requires considerable flexibility and the ability to prioritise tasks to contribute to the delivery of a robust and efficient administrative support function across the School. The post holder will support the Deputy School Operations Managers (DSOM’s) and Operations Senior Administrator’s (OSA’s) to deliver operational activity and provide support, advice and guidance to colleagues through efficient and effective professional liaison with internal and external stakeholders at all levels, to facilitate the smooth running of day-to-day activities.
Operating as part of the School Operations Team and supporting the Operations teams the post holder will undertake tasks on behalf of the School and provide support to Divisions as required. The post holder will engage in communities of practice to achieve continuous business improvement and standardisation, working with other business areas throughout the Faculty and wider University such as People and Organisational Development (People & OD), Finance, Estates, etc., as well as external partners such as NHS Trusts. The post holder will be employed as a member of School staff and will initially have an affiliation with a Division but will also be required to support wider operational responsibilities and activities in other areas to enable an efficient and effective PS support provision across the School.
There will be a considerable need for agile working and to respond to change and the post holder will actively work to support senior managers in achieving these objectives. It is also possible, during the period of your employment that you will be rotated to other areas of the business.
