Brief Description
We’re looking for an experienced team organiser within the Western route operations team.
Working in partnership with our operations director, we’re looking for someone who can ‘hit the ground running’ by providing much needed administrative support.
So, what are we looking for? Firstly, you’ll need experience of working with senior leaders, especially managing their diaries. You’ll need to be organised, good at time management, have great communications skills, be collaborative, adaptable and able to develop working relationships with colleagues at all levels of the organisation. Being self-motivated and able to work independently are also really important. As you’ll be dealing with sensitive information, confidentiality, discretion and professionalism are a must. It’s a really exciting time for Network Rail’s Western route and the operations team is at the forefront of this. The Elizabeth line is fully up and running to the east of our network. We’ve recently finished a multi-million-pound resignalling programme for Devon and Cornwall, digitising the signalling system to improve the reliability and safety of the railway for passengers and freight customers. The HS2 Old Oak Common station will be based on our route which is said to be the largest new railway station ever built in the UK and will have a huge impact on the east section of the Great Western Main Line. About the role (External)
A snapshot of the responsibilities:
1. Carryout general office administration duties including control of all mail, co-ordinating diaries, processing and maintaining personnel records including vulnerable assets such as mobile telephones; make necessary returns. Arrange travel, hotels and vehicles, and order and control personal protective equipment (PPE) for the team.
2. Organise meetings and the production, collation and dissemination of documentation for and resulting from them. Take minutes when required and follow up actions from the meeting.
3. Diary and inbox management
4. Provide communications to the team, including sending messages as required.
5. Maintain an efficient online filing system paying particular attention to records of standing meetings, statutory records and authorisations.
6. Utilise financial and procurement systems and act as the local purchasing agent (where directed) by ordering stationery and other office consumables as required.
7. Report team problems e.g., IT and office facilities and monitor response.
8. Carryout the role in a way that is consistent with, and reinforces, Network Rail’s values
In order to be successful in this role, we would like you to have /to be:
- Proven strong administrative experience, ideally from supporting senior leaders
- Excellent written and verbal communication skills
- Ability to build strong relationships with colleagues at all levels of the organisation
- Able to work independently and collaboratively as part of a team
- Good time management skills and attention to detail
- Able to multi-task
- Excellent IT skills
Essential
- Demonstratable administrative experience
- Strong organisation skills
- Ability to multi-task
- Experience in IT packages such as Microsoft Word, Excel and PowerPoint
- Good time management
- Good communication skills (verbal and written) including excellent telephone manner
- Experience of working with a team
Desirable
- Sound railway background and knowledge of railway geography
Recognised qualification in keyboard associated skills and office management
