Position Overview

The Human Capital Coordinator is a key team member supporting the day-to-day operations of the Human Capital Team. The HC Coordinator should demonstrate a foundational understanding of the role a Human Capital team plays within financial services, as the right candidate will have the opportunity to involve themselves in a variety of different projects and workstreams across their defined coverage remit. Given the entrepreneurial culture of the firm, the individual must be prepared to “roll up their sleeves” on a variety of tasks across all levels of the HC team’s scope and breadth, providing direct operational, execution, and administrative support to the HC Business Partners.

The HC Coordinator will support the HCBP team leading coverage for Apollo’s Credit, Insurance, Capital Solutions, and Origination businesses across EMEA, as well as support on regional culture and engagement initiatives.

Primary Responsibilities:

  • Human Capital Administration
  • Drafting a variety of HC written and visual material, including but not limited to emails, offer letters, transfer letters, PowerPoint presentations, and Excel documents
  • Creating comprehensive onboarding plans, inclusive of role description and competencies, key stakeholders and contacts, intro meetings, team org charts, and other resources
  • Facilitating the employee offboarding process and associated documentation
  • Executing tasks in Workday, Apollo’s internal employee database, to ensure information is accurate and flows properly to downstream users for reporting
  • Updating and maintaining HC organisational charts and other reference materials
  • Collating reports and pulling data requests, including HC dashboards and board materials
  • Acting as first point of contact for general employee queries (Workday, Benefits etc.)
  • Working closely with key Enterprise Solutions partners on a range of employee related projects (e.g., SMCR, secondments, background checks, etc.)
  • Regional Initiative Support
  • Supporting regional initiatives and special projects, including engagement plan execution & DEI efforts across EMEA & APAC
  • Assisting with meeting logistics, presentation materials, and external event planning
  • Maintaining budgets, project plans, and other reporting requirements in support of regional initiatives and special projects 
  • Core Administrative Support
  • Delivering proactive and comprehensive administrative support to HC Business Partners with precision and discretion, including but not limited to: calendar management, scheduling, preparing agendas, and travel coordination (as required)
  • Processing monthly expense reports in a timely fashion
  • Liaising with firmwide administrative population, Tech, and Workplace Solutions teams as needed

Qualifications & Experience

  • 3+ year’s administrative experience; Human Capital/Financial Services experience preferred
  • Educated to degree level or higher preferred
  • Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines
  • Strong initiative and ownership of responsibilities; must exhibit a proactive, positive attitude towards given tasks, planning ahead for potential issues and taking appropriate action to resolve
  • Exemplary interpersonal skills; ability to handle sensitive and confidential situations with tact and diplomacy
  • Superb written and verbal communication skills; strong attention to detail when composing and proofing materials
  • Extensive knowledge of Microsoft Outlook and proficient in Excel, Word, and PowerPoint
