GGGI has a diverse portfolio of programs in developing countries around the world. These in country programs, together with global products and services, focus on delivering results through an integrated approach of evidence-based green growth planning and implementation aligned to countries’ development priorities. The organization also focuses on knowledge development and management activities which build a strong theoretical and empirical basis for green growth, while providing concrete options and guidance for policymakers; as well as building the conditions for public and private green infrastructure investments.
OBJECTIVES OF THE ASSIGNMENT
Togo country office is in the process of projects implementation, and new project ideas identification as well as resources mobilization for further development of its program in Togo, and it is in line with this that GGGI is hiring an individual consultant to support with administration matters. The Administration assistant Support is a full-time national consultant who will be assisting the Finance and Corporate Services (FCS) Focal Point for the implementation of the program and timely delivery of the GGGI Program in Togo. She/he will also support the Country Office in all matters related to administration with the Government Institutions, Development Partners and other Key Stakeholders working with Togo Office. The consultant will support the Program’s Administrative, and logistical operations in accordance with GGGI’s highest quality standards.
DELIVERABLES AND PAYMENT SCHEDULE
The Support will provide administrative and logistical support in close coordination with the FCS Focal Point and other senior staff to ensure that activities of getting engaged with the Government officials, Development Partners and other Key stakeholders run smoothly.
Deliverables are as follows:
- Provides general support to the program activities where necessary
- Updates the Country Team, and/or Program Unit on project status and up to date data repository and document archives, asset inventory, and stakeholder contacts
- Supports all procurement and recruitment related activities
- Support in the engagement with decision-makers in private companies and Government agencies through consultation meetings and awareness raising workshop by providing administrative support in organizing the workshop, send invitation letters, coordinate the collection and distribution of agenda materials, follow-up and confirm participation of stakeholders, draft minutes of the meeting and workshop.
- Explains logistics procedures and requirements for external partners who participate in GGGI workshops and meetings
- Assists in the preparation of briefing materials, presentations and reports.
- Compiles and files all program related documents for document archives (inventory, library) both electronically (on SharePoint) and as hard copies
- Supports program activities with preparation for, or processing of, meetings or workshops.
- Supports in the preparation of internal coordination meetings including notes taking
- Provides logistics arrangements with respect to workshops and meetings
QUALIFICATIONS
- At least a bachelor’s degree in business administration, Finance or equivalent experience
- At least 3 years of relevant administrative work experience would be an asset
- Understanding of official protocols and government processes in Togo
- Demonstrated ability to use web-based administrative systems and MS office
- Understanding GGGI administrative system is an advantage
