Logistic Officer

POSITION SUMMARY – This position is based in Apia, Samoa

The primary focus will be to support logistics functions across the organization and setting up and abiding with CI Samoa best practice and procedures for assist in procurement, dispatch and storage of all materials and supplies, asset management, logistics, fleet and incident reporting

Together with capacity building to ensure sound logistics practices and rigorous controls are in place across multiple projects. Logistics activities are coordinated as per CI-Samoa logistics and Procurement manuals and policies, and the donor compliance is applied to full in all programs and reports are submitted on a timely manner

The position does not directly manage staff and duties are performed under direct supervision.

RESPONSIBILITIES

Planning and Coordination: Develop and execute logistics plans, including procurement, transportation, and distribution, to ensure timely and efficient delivery of goods and services.

Transportation: Coordinate the transportation of goods, select appropriate carriers, optimize routing, and monitor delivery schedules to ensure on-time delivery while minimizing transportation costs.

Administration:

  • Assist Operation team and other project team to move stock in and out of the storeroom.
  • Assist in the administration work such as receiving and support operations team.
  • Deliver document for Operation or other project team including obtaining quotes for procurement
  • Prepare log sheet and daily filling log sheet, work order and daily check list, and ensure that they are properly filed.
  • Report incident and maintenance problems in accordance with the safety & security requirements.

Driving Duties:

  • Transport passenger and cargo in accordance with the CI manual of safety & security requirement, and the law of Samoa.
  • Ensure that the passengers follow all safety requirement, and that cargo is safety and securely stored.
  • Complete the daily checklist for the vehicle.
  • Secure, maintain and use the equipment provided with the vehicle.
  • Assist Operation team staff to arrange inspection, maintenance, cleaning and repair of vehicle, including the delivering of paperwork, conducting minor maintenance, and testing vehicles after repair.

Any other work assigned by the Supervisor.

WORKING CONDITIONS

  • Typical office environment
  • Flexibility to occasionally work outside of normal work hours for any additional office events.
  • Ability to stand for an extended period and work out of doors in all weather conditions.

QUALIFICATIONS

Required

  • Up to 2 years of experience in logistics operations including procurement, transport, stock management, fleet management, and asset management
  • Ability to analyze information, and make clear, informed decisions.
  • Ability to build relationships quickly with a wide range of stakeholders and suppliers both internally and externally
  • Excellent planning, management, and coordination skills, with the ability to organize a substantial workload comprised of complex, diverse tasks and responsibilities and to delegate.
  • Strong communication (written and spoken), and interpersonal skills in English, with experience in managing multicultural teams.
  • Experience overseeing fleet or vehicle maintenance schedules.
  • Full Valid Driver’s License (Manual) and defensive driving certificate will be an added advantage.
  • Clear understanding and ability to follow Procurement Processes.
