Salary: £25,000 + £1,500 company bonus (based on company performance)
Hours: 35 hours per week
Location: The role is based around our office in Liphook. Not only are the people lovely but the office and grounds are beautiful and perfect for lunchtime strolls.
A bit about the role: This is an exciting opportunity to join our dynamic team as an Administrative Assistant, where you will play a key role in supporting the CEO’s Executive Assistant to ensure the smooth day-to-day operations of our office and events. We are seeking an organised and proactive individual to support a variety of administrative and coordination tasks, helping to create a positive and efficient workplace environment. This role offers the chance to contribute to impactful projects, support events, and ensure that our team has the resources they need to succeed as we continue to grow and empower children through music.
Responsibilities:
- Manage meeting rooms, post distribution, and general office support to ensure an efficient, welcoming environment.
- Coordinate venue bookings, catering, dietary needs, invitations, and technology for meetings and events.
- Support diary management, scheduling across multiple calendars, and organising meetings.
- Assist with planning and executing events, including awards ceremonies and social activities.
- Prepare and distribute agendas, take meeting notes, and follow up on actions for Executive Performance Board (EPB).
- Maintain relationships with suppliers and ensure smooth service delivery.
- Keep digital and physical records organised, including managing SharePoint folders and filing systems.
- Create and manage digital forms and handle general queries or ad hoc requests.
Skills and Experience:
- Prior experience in an administrative role ideally supporting a senior manager or senior management team within a fast-paced environment.
- Interest and experience in event coordination and managing projects.
- Exceptional organisational skills and the ability to manage multiple priorities in a fast-paced environment.
- Confident and professional communicator, both written and verbal.
- Strong attention to detail and accuracy in all tasks.
- Proficiency in tools like JotForm, SharePoint, Microsoft Office and other organisational systems.
- Demonstrated ability to work independently and take initiative to improve processes.
- Experience taking minutes in meetings would be desirable but is not essential
- High level of professionalism, discretion and ability to maintain confidentiality.
