Role Introduction

The Administrative Assistant is responsible for providing support to a busy BT ITSM team, ensuring smooth day-to-day operations of all aspects of the team as well as providing occasional cover across the department. The role offers an excellent opportunity to gain experience and exposure to a wide range of disciplines within a well-known software business. 

What You Will Do

Day to day duties will vary depending on the business needs, but typically include: 

Managing communications, answering calls and responding to emails; occasional reception cover. 

Monitoring inventory of supplies and equipment, and placing orders as needed. 

Providing support to other team members as needed, such as taking notes, producing dashboards and reports, and assisting with data analysis utilising tools such as BMC Helix, PowerBI, PowerPoint or Excel 

Preparing and processing purchase orders/invoices for services consumed by the BT ITSM; assisting with other financial transactions. 

Supporting implementation of key processes and initiatives; Helping plan and execute BT ITSM projects, such as property renovations or IT projects. 

Monitoring and assisting with fulfilling requests raised by employees in the Digital Work Place, and addressing any issues or concerns promptly. 

Liaising with staff, visitors, contractors and service providers. 

Maintaining records in line with the Quality Management Standards. 

Assisting with purchasing and renewals of software licensing, hardware and telephony. 

What You Will Have

  • Key Skills and Qualifications: 
  • Proven experience in a similar administrative role. 
  • Strong organizational skills and ability to manage multiple tasks simultaneously. 
  • Excellent communication and interpersonal skills for liaising with staff, vendors, and contractors. 
  • Ability to manage budgets. 
  • Working Conditions: 
  • Hybrid, with the expectation to be in the office for a min of 3 days a week. 
  • Travel to other OA office locations will be required and will be reimbursed by the business
