Administrative Assistant I

• Summary

  • Provide operational support for Global Tax Reclaims, including filing support, handling rejections, and performing sub-reconciliations.
  • Coordinate and respond to tax reclaim inquiries and requests from tax authorities.
  • Ensure accurate, timely completion of assigned work; no direct reports.

• Responsibilities

  • Support Global Tax Reclaims activities (filing support, rejection handling, sub-reconciliation).
  • Coordinate tax reclaim-related inquiries and help track them to resolution.
  • Gather required data elements to support reclaim filings and requests from tax authorities.
  • Build reclaim packages, support submission, and assist with filing to tax authorities.
  • Provide status updates on:
    • tax authority inquiries
    • reclaim package creation and submission progress
    • reclaim filing progress
  • Maintain accuracy and meet deadlines for all assigned deliverables.

• Required skills

  • Proficiency with MS Office (Excel, Word, Outlook).
  • Strong attention to detail and ability to meet timelines.
  • Clear written and verbal communication for status updates and inquiry handling.

• Preferred qualifications

  • experience in Income, Corporate Actions, and/or Asset Servicing.
  • Bachelor’s degree in a business discipline.
  • 2-3 years of overall work experience.
