We are looking for an Administrative Assistant to provide administrative support at our distribution site Durham, NC! If you are highly organized, detail-oriented, driven by accuracy with a can-do attitude, consider joining Kuehne+Nagel!
Your Role
As the primary contact for the front office, we will count on your positive, can-do attitude and ability to handle multiple conflicting priorities while meeting tight deadlines. You will handle invoicing, accounts payable, purchase orders (PO), provide support for month-end financials, and assist with financial reporting. You will also provide general administrative support such as event planning. You will work at the Durham, NC location, Monday – Friday, 8:00 am – 4:30 pm.
Your Responsibilities

Greets customers in person or by telephone; answers phone calls and responds to questions or inquiries; directs and screens calls to managers and members of department or facility.

Creates and prepares business memos, letters and reports and presentationmaterials as needed; gathers necessary information and materials to complete these tasks.

Maintains customer confidence and protects operations by keeping information confidential.

Maintains office / warehouse supply inventory by checking stock to determine inventory level; evaluates new office products; places and expedites orders for supplies; verifies receipt of supplies.

Maintains department or manager’s schedule by coordinating calendar for department personnel; arranges meetings, conferences, teleconferences and travel arrangements.

Ensures operation of office equipment by completing preventive maintenancerequirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories;evaluating new equipment and techniques.

Performs general office duties such as filing, faxing, copying, and sorting.

Create Purchase Request (PR) in ACON New.

Create Purchase Orders (PO) in ACON New.

Purchase all supplies for the site.
-
Process incoming invoices.
-
Perform Client Billing.

Create Investment Applications (IA) in ACON New as requested.

Monitor business development in terms of productivity, volumes and cost.

Support the Branch Manager in financial matters.

Works with timecard and payroll data and reporting

Supports administrative task supporting QSHE

Otheradministrative projects and task as needed
Your Skills and Experiences
-
High school diploma
-
2+ years of experience in a warehousing or distribution environment
-
2+ years of experience in accounts receivable/payable, revenue recognition, and forecasting
-
1+ years of office administrative experience
-
Working knowledge of related systems such as SAP/ERP
-
Experience analyzing financial KPIs, trends, and implementing corrective measures
