Administrative Assistant – Development & Feasibility

Job Summary

Marriott International is seeking a highly organized and proactive Administrative Assistant to support the Development and Feasibility teams in our London office. This role provides essential administrative and operational support, ensuring smooth day-to-day functioning within both departments. While primarily supporting the London-based team, the role may also provide occasional assistance to team members across continental Europe.

This is a full-time, office-based position, with flexibility for occasional remote work in line with Marriott’s hybrid working policy.

Key Responsibilities

Administrative Support

  • Manage correspondence, reports, and presentations, ensuring accuracy and professionalism.
  • Organize and maintain digital filing systems for easy access to key documents.
  • Assist in preparing and formatting internal approval documents for committees.
  • Maintain and update development project data in the Oasis system.
  • Support expense reporting, office supply management, and general administrative tasks.

Meeting & Event Coordination

  • Schedule meetings, manage calendars, and coordinate travel and accommodation for team members.
  • Prepare agendas, take meeting minutes, and follow up on action items.
  • Assist in organizing internal and external events, including hospitality functions and conferences.
  • Manage invite lists, craft invitations, track RSVPs, and oversee dietary requirements.
  • Provide logistical support for the Hotel Development Committee (HDC) meetings, under the supervision of the Senior Administrative Assistant.

Stakeholder Communication & Support

  • Serve as a key point of contact for internal and external stakeholders.
  • Handle incoming telephone and email inquiries, ensuring professional communication.
  • Support client database management and event attendee coordination.
  • Update and maintain the contact database for UK & Ireland.
  • Assist with the preparation of Letters of Support and Expressions of Interest, ensuring brand information is up-to-date and accurately distributed.

Document Preparation & Compliance

  • Assist with the preparation of RFPs, pitch documents, and presentations for client meetings.
  • Support the NDA process by managing document flow through the legal team.
  • Ensure confidentiality and compliance with Marriott policies and procedures.

Candidate Profile

Experience & Skills

  • Previous experience in an administrative role is essential.
  • Strong organizational and multitasking skills, with keen attention to detail.
  • Ability to work independently and collaboratively within a team.
  • Strong verbal and written communication skills, with a professional demeanor.
  • Proficiency in Microsoft Office (Outlook, Teams, SharePoint, Word, Excel, PowerPoint).
  • Ability to learn and navigate new software and internal systems quickly.
  • Willingness to travel occasionally and support events outside of standard office hours when required.

Education & Qualifications

  • A degree or equivalent qualification is preferred.
  • Fluent spoken and written English is essential.
