The Administrative Assistant will provide a welcoming environment for internal staff and external vendors and clients, assist in day to day office administration duties, and provide support to other departments as requested.
Requirements
Answer and direct all incoming calls
Greet and direct all visitors/Interviews/vendors
Oversee incoming and outgoing correspondence (Mail, UPS, FedEx, Courier)
Maintain tracking system for all incoming/outgoing packages
Perform general clerical duties including but not limited to: photocopying, faxing, filing as requested
Maintain an adequate inventory of office and break room supplies
Assist with coordinating repairs and maintenance of office equipment
Assists with booking travel and preparing expense reports as requested
Assist with catering and organizing company events/meeting
Assist in electronic delivery of confidential and time-sensitive documents
Assist with onboarding new employees including issuing security badges, working with landlord for building badges, and following all photo requirements
Maintain administrative reports/logs as required
Prepare project binders and other deliverables as requested
Act as Safety Monitor for office and assist in the event of an emergency
Perform other duties as assigned
Requirements
Minimum of 2-3 years’ experience as Administrative Assistant
Experience with MS Word, Excel and PowerPoint
Experience working in a project focused environment
Professional verbal and written communication skills
Self-motivated and resourceful, proven ability to multi-task and operate successfully under tight deadlines
Enjoys fast-paced, dynamic and challenging environment that focuses on a team oriented approach
Great interpersonal and communication skills
Demonstrates flexibility, accountability, and reliability
