Job Title: Administrative Assistant / Bookkeeper

Employment Type: [Full-Time/Part-Time]

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant / Bookkeeper to join our team located in North Bergen. Must be Bilingual Spanish. This role combines administrative support with day-to-day bookkeeping responsibilities. The ideal candidate will have experience in office administration, be proficient in bookkeeping practices, and be comfortable working in a fast-paced environment.

Key Responsibilities:

Administrative Duties:

  • Manage front office operations, including answering phones, responding to emails, and greeting visitors
  • Schedule appointments, meetings, and maintain calendars
  • Maintain organized filing systems (electronic and paper)
  • Prepare and edit correspondence, reports, and other documents
  • Order office supplies and manage inventory

Bookkeeping Duties:

  • Process accounts payable and receivable
  • Reconcile bank statements and credit card accounts
  • Maintain financial records and ensure accuracy of data
  • Assist with payroll preparation and processing
  • Prepare monthly, quarterly, and year-end financial reports
  • Work closely with external accountants or CPAs as needed

Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred
  • 2+ years of experience in bookkeeping and administrative support
  • Proficiency in [insert accounting software, e.g., QuickBooks, Xero, or Sage]
  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent organizational and time management skills
  • Strong attention to detail and accuracy
  • Ability to handle confidential information with integrity
  • Bilingual (English/Spanish) is a plus [if applicable]

Working Conditions:

  • Office-based role with standard business hours
  • May require occasional overtime during peak periods (e.g., month-end close, tax season)
