Job Summary

We are seeking a highly organized and proactive Administrative Professional to support the Litigation & Employment, BlackRock Global Markets Legal and Institutional & Solutions Legal teams within the EMEA Legal & Compliance department. Reporting directly to the EMEA Head of Litigation & Employment, the successful candidate will play a crucial role in ensuring the smooth and efficient operation of these teams. The role demands a keen understanding of the operation of legal & compliance teams within a multi-national organization, and the ability to manage complex tasks with discretion and professionalism.

Key Administrative Duties

  • Efficiently manage complex diaries across multiple time zones, maintaining a clean and effective schedule, and ensuring all appointments and meetings are properly scheduled and coordinated.
  • Maintain team-work rotas and matter logs, assist with producing board reports, meeting materials, proactively collect/organize agendas for team meetings, assist with onboarding new hires and contractors, and maintain team holiday and absence schedules.
  • Assist in the preparation and organization of confidential legal documentation and correspondence.
  • Anticipate the needs of the team and ensure that all tasks are completed efficiently and effectively.
  • Coordinate travel arrangements, including visas, flights, hotels, and transportation, and ensure that all travel expenses are processed promptly using Concur.
  • Maintain and organize digital and physical files for easy access and retrieval
  • Support departmental projects and initiatives as directed and assist in the management of departmental budgets and expenses.
  • Support the legal billing processes using Counsel Link and act as the primary point of contact between the team, internal departments and external parties.
  • Serve as the Organisation Contact for the Solicitors Regulatory Authority and manage the bulk renewal of Practising Certificates for the department’s solicitors qualified in England & Wales.

Knowledge, Experience & Language

  • Minimum three years of experience as an administrative professional or similar role, preferably within a legal or compliance setting.
  • Excellent organisational skills, with the ability to manage multiple tasks and priorities effectively.
  • Strong written and communication skills, with the ability to liaise effectively with internal and external stakeholders.
  • Proactive and self-motivated, with the ability to work independently and take initiative.
  • Ability to proactively anticipate needs and make sound decisions with minimal direction.
  • Absolute discretion and appropriate handling of sensitive information.
  • Advanced proficiency in Microsoft Office suite and familiarity of legal document management software.
  • Attention to detail and problem-solving skills.
  • English fluent or native speaker.
  • Energy, enthusiasm and a “can do” attitude are essential.
