About Us: 

At Steris AST we are the trusted experts in technology-neutral sterilization services including radiation and gas modalities.

We offer electron beam, gamma, X-ray, ethylene oxide and vaporized hydrogen peroxide technologies for the purpose of product sterilization. Whether that product be a medical device, consumables in a hospital environment, cosmetics and toiletries, or industrial products, we make sure everything that makes its way to an end user is safe for use or consumption.

WHAT YOU WILL DO

Provides administrative support for facility management, contributing to the overall success and operation of the facility. May perform or oversee the performance of activities involved with employee resources, payroll, accounts payable, purchase orders, invoicing, facility purchasing, office equipment maintenance, sales support and other office functions as directed by supervision. May oversee the work of other office personnel. Maintains confidentiality of information when appropriate.

Customer Relationships

  • Assists the site team by maintaining sales files, contracts, price sheets, and mailings.
  • Provides Customers with general information, facility brochures; prepares invoices for services; coordinates travel arrangements for visitors, Customers, and facility staff. Creates Customer correspondence; refers Customer difficulties to appropriate location Managers or Sales Representatives.
  • Communicates effectively by using accepted business practices courteously and professionally, providing timely and accurate responses and service-oriented offers of assistance to Customers and employees.
  • Develop key Customer account relationships at a site level, to support day-to-day operational requirements ensuring the client is updated and provided with relevant and clear information.
  • Administers and controls Customer invoicing through maintenance of price book, performing data entry; and creating batch and monthly payment records.

Duties – cont’d

  • Contributes to financial control by collecting (Delivery Sales Orders) and maintaining the account receivables to include Customer master list, aging report and invoice list; creating purchase orders and contracts; monitoring office/sales supplies and ordering new supplies within budgetary constraints; maintaining accounts payable records, issuing check requests; and providing various accounting reports to facility management.
  • Conducts purchasing functions by receiving purchasing requisitions, issuing purchasing orders; maintains vendor files, quotes catalogues and logs books; controls office supply inventory.
  • Contributes to employee record keeping and morale by assuring the accurate and timely completion of payroll change notices; maintains an inventory of benefits and other personnel related forms (as applicable).
  • Maintains facility office equipment by reporting malfunctions to immediate supervision.
  • Assists in maintaining facility levels of office support by performing other office functions, including payroll and general queries. Serves as back-up to other office personnel as directed by supervision. May assist with or complete other general tasks / responsibilities as assigned.
  • Protects company confidential information by properly storing, retrieving, and disseminating such information only to those authorized.
  • Contributes in a team effort by performing in accordance to all STERIS policies, GMP, Lean principles and other directives; supports the directives and decisions of higher-level management and performs other duties
  • Participates and supports corporate initiatives at site, helping plan & organize events to the benefit of all employees. Examples include One Team One Goal, Sustainability, Lean or social events.
  • Any other reasonable tasks or duties

Education Degree

Required Experience

  • Experience as an Administrative Assistant or similar position encompassing human resources administrative, clerical, and accounting duties, or similar position.
  • Ability to effectively read, write and verbally communicate, occasionally making oral presentations to groups of people.
  • Ability to work independently under general guidelines and supervision.
  • Requires computer literacy to include word processing, spreadsheet and software capabilities.
  • Math skills (four basic arithmetic functions in all units of measurement, decimals, ratios, rates, percentages).
  • Effective interpersonal skills as demonstrated through prior experience.
  • Ability to adapt to changing duties and responsibilities
