Job summary

Do you have excellent communication and organisational skills? Are you a team worker with the ability to use your own initiative? If the answer is yes, then we are looking for an enthusiastic and motivated AO Administrative Officer to join our encouraging and welcoming team of dedicated military and civilian healthcare professionals and administrative staff working within ITC Cattterick, Vimy Barracks, Catterick Garrison. 

The vacant post is a full-time position working 37 hours per week. Part-time candidates will be considered but due to service delivery requirements it must be on a job share basis as full-time hours need to be covered.

Strategic Command is going through a significant transformation programme which aims to improve the way the Command conducts its business and delivers for Defence and the nation. As a consequence of this, all posts within Strategic Command Headquarters and in time the wider organisation, are/will be subject to review and potential changes as we continuously improve across the period of the transformation programme. These changes may be minor or could be more substantive and will generate new opportunities. Throughout, the Command’s transformation programme is committed to following the MOD’s framework on managing and supporting people through the change process and places an emphasis on early and open consultation and engagement with the Command’s personnel and Trade Unions. 

Job description

The successful post holder will receive all patients and visitors to the Medical Centre in an appropriate manner; make appointments for consultations/clinics for patients using the appropriate systems. Ensure that all medical files are up-to-date, accurate and neat, overseeing and assisting with all filing; circulate patient records around the Medical Centre as required. Assist with the implementation of systems for the successful performance of medico-legal requirements, medical ethics, and patient confidentiality.

Person specification

The duties and responsibilities of the role include, but are not limited to:

  • Add routine clinics on Defence Medical information capability program (DMICP) when directed by the Practice manager or if the Practice manager is absent. To ensure that the above tasks are completed you will be allocated protected administration (Admin) time. You should complete this task in a quiet area free from interruption and away from your daily reception duties
  • Maintain the appointment system on DMICP
  • Oversee the running of clinics, ensuring that patients are being attended to and advising them of any unforeseen delays.
  • Manage daily clinics on DMICP.
