Assistant

Position Overview

The Assistant primarily provides administrative support within the London Legal team. Responsibilities include, but are not limited to, general, administrative work. The position may also require providing additional back up support to other members of the team as and when needs dictate.

Primary Responsibilities

• Extensive diary management for members of Apollo’s Legal team
• Make travel arrangements for business travel, including flights, cars, hotels and relevant visas, within Apollo’s travel and expense policy, and with cost-reduction in mind
• Manage requests for signatures on behalf of legal signatories
• Prepare and edit relevant materials for the team, particularly in Microsoft Excel and PowerPoint
• Allocate and process expenses for professionals, including American Express and Out of Pocket expenses using the Concur expense management system. Tracking team expenditure to ensure in line with budget
• Tracking and processing of invoices in OWC-OneVue and Passport, updating the department budget accordingly
• Tracking team whereabouts on Workday Schedules for overseas travel and update reports in Excel
• Manage work priorities independently and respond to business outside of normal business hours as needed
• Perform other related general administrative tasks for executives as assigned and required
• Collaborative approach to building relationships and networking to increase efficiencies within the Global Legal, Regulatory, Tax and Compliance (“LRTC”) Admin team
• Coordinate closely with other assistants on the legal team to provide telephone coverage and back-up assistance when required
• Collaborate and coordinate with the LRTC assistant team in relation to external event planning for the European legal and compliance teams – e.g. researching and booking activities and venues, with attention to logistical details and budgets

Qualifications & Experience

• Bachelor’s Degree or four or more years of administrative assistance experience or training, or equivalent combination of education and experience
• Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines
• Strong initiative and ownership of responsibilities – must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues and take appropriate action
• Exemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact and diplomacy
• Superb written and verbal communication skills. Strong attention to detail when composing and proofing materials required
• Team-oriented and collaborative attitude is a must
• Extensive knowledge of Microsoft Outlook and proficient in Excel, Word and PowerPoint
• Working knowledge of office administrative procedures and operating standard office equipment
• Experience in the legal or finance industry is preferred
