This means investing in talent, technologies, and tools that empower you to own your career.Join MUFG, where being inspired is expected and making a meaningful impact is rewarded.OVERVIEW OF THE DEPARTMENT/SECTIONThe HR Shared Services department is a key service delivery team sitting with the HR Division providing support and service to all employees across the business.HR Shared Services are a critical team supporting employees and managers including the HR COEs and HRBPs while also ensuring focus on the legal and regulatory requirements for the countries and regions it supports.MAIN PURPOSE OF THE ROLE

  • This job sits within the London HR Shared Services Team in the UK, servicing all UK employees and London based HR Team. This is a key, client-facing role, delivering quality HR Shared Service support and advice to all MUFG employees and HR.
  • This is the first point of contact for HR Shared Services Team support and will be responsible for establishing and preserving strong relationships with internal clients, providing accurate and timely customer service and resolving HR transactions and administration, including complex issues, within agreed service levels. The job holder has ownership and accountability for managing the resolution of customer issues.
  • This role will also support the business and HR team in relation to Employee Relations activity. The role provides professional case management to Line Managers through the HR Shared Service team working within the wider HR team on more complex matters that fall within the remit of the HR Shared Services team. Responsible for coaching and supporting Managers across the business to resolve routine queries and ER cases with support on escalated cases from within the HR Shared Services team where required.
  • As an AVP, the job holder will have senior HR Shared Service oversight on actions and queries ensuring that relevant support is given to the HR Shared Service, further escalating cases to COEs where required.
  • The role will be dealing with all enquiries received in to the team from managers, employees and key stakeholders in the business, acting as a key channel between HR and the business.

KEY RESPONSIBILITIES

  • Responsible and accountable for Managing Tier 1 level support to employees/stakeholders across MUFG on all employee lifecycle activity including policy advice, case management and resolution of complex queries.
  • Maintains a client centric approach to support effective client outcomes
  • Responsible and accountable to Act as the escalation point for complex employee relation matters from junior members of the HRSS as defined by the ER escalation matrix.
  • Responsible and accountable for Partnering with line managers to guide on Performance Improvement cases in line with the Capability Policy and establishing a trusted relationship to resolve issues
  • Responsible and accountable in producing accurate ER casework documentation; update and maintain accurate records
  • Responsible and accountable for Partnering with line managers to guide them on the probation process including extensions and terminations, establishing a trusted relationship to resolve issues (as defined in the ER matrix)
  • Responsible and accountable to Act as an ‘Account Manager’ for the HR Advisory Function leading and providing support for ER items as per the ER matrix and Inter-Department Agreement. Including but not limited to disciplinaries, grievances, employment advice, divisional restructures and employee lifecycle queries. Partner with Shared Services Manager on allocation of resources within the HR Shared Services team on key processes supporting the HR Advisory team
  • Responsible and accountable for being the main point of contact to guide line managers on Employee Relations items including but not limited to Performance Improvement Cases in line with the Capability Policy, Long Term Absence cases and establishing a trusted relationship to resolve issues through guidance or owning the meetings.
  • Responsible and accountable for Leading, advising and coaching HR Shared Services Advisors and Administrators on employee matters. Partnering with ER manager to keep up to date to changes in the employment environment and updating the team accordingly
  • Responsible and accountable as the main point of contact for completion of HR internal audits (not limited to HR Shared Services) and liaison with HR Shared Services Manager for sign-off (or COE Lead if outside of HR Shared Services). Escalating any issues in a timely manner
  • Responsible and accountable in taking the lead on suggesting, designing and implementing process improvements and efficiencies for the HR Shared Services team to improve historical working practices and design creative solutions that contribute to departmental objectives in support of the MUFG vision
  • Responsible and accountable for maintaining process documents and guidelines to include any changes to processes that are owned outside of HR Shared Services but are processed within the team. Ensuring any changes are documented, communicated and adhered to whilst maintaining a central repository for all HR process that involve HR Shared Services
  • Responsible and accountable for Leading, advising and coaching HR Shared Services Advisors and Administrators on employee matters. Partnering with ER manager to keep up to date to changes in the employment environment and updating the team accordingly
  • Support HR Shared Services Manager to lead the HR Shared Services team and ensuring workloads and priorities are managed appropriately across the team
  • Responsible and accountable in ensuring all services delivered are done so in accordance with agreed policies and procedures
  • Responsible and accountable for managing queries and process actions as defined in the relevant Inter-Department Agreement with each HR Centre of Excellence including but not limited to Benefits, HR Advisory, Learning and Development, Organisational Development and Performance
  • Responsible and accountable in ensuring HR Shared Services Processes are compliant with all regulatory, policy and legislative requirements, and support the delivery of SOX controls which fall within the HR remit
  • Responsible and accountable for being an ambassador for the ‘One MUFG’ vision and bringing it to life in HR
  • Responsible and accountable for being the Business Continuity Champion for HR, supported by HR Shared Services Advisor for day to day maintenance ensuring documentation and ongoing business continuity plans are accurate and updated regularly in line with requirements
  • Responsible and accountable in keeping up to date with legislation and regulatory changes, maintaining continual professional development

WORK EXPERIENCEEssential:

  • Experience of working in a HR Shared Service or generalist environment, preferably in Financial Services or other Regulated sector.
  • Broad HR knowledge and understanding of working practices and learning, development and benefits
  • Process mapping experience
  • Understanding the needs of the employee/ stakeholder and prioritising to ensure ‘client’ satisfaction.
  • Awareness of how current legislation specific to benefits, learning and development impact employment practices
  • Experience of managing transactional learning, development and benefits activity within defined process, and understanding of when escalation is required
  • Experience of partnering with the business as a generalist HR professional and being confident with advising according to policy, process and legislation, owning meetings as a HR representative and challenging where needed.
  • Previous HR/ER advisory experience to case management level within a shared service centre or head office environment

Preferred:

  • Experience of working with ticketing system preferred but not essential.
  • Proven experience in HR within a learning, development and benefits HR role; advising, influencing, delivering HR solutions in a pragmatic manner to support business needs

SKILLS AND EXPERIENCEFunctional / Technical Competencies:Essential

  • Awareness of how current legislation impacts employment practices.
  • Ability to communicate effectively, informatively and with sensitivity, with a wide range of employees to maintain confidentiality and inspire trust.
  • Results driven, with a strong sense of accountability whilst comfortable making strong decisions demonstrating the ability of having sound judgement ensuring alignment to policy and guidance
  • A proactive, motivated approach that is also instilled in team
  • Ability to manage conflicting priorities and re-prioritize work accordingly
  • A structured and logical approach to work whilst considering innovation
  • The ability to manage large workloads and tight deadlines and maintaining a calm approach, with the ability to perform well in a pressurized environment
  • Proven experience working with Workday
  • High level of literacy and numeracy sufficient to undertake complex letter writing and reports, statistical analysis of performance data and complex calculations

Preferred:

  • Secondary language is preferable but not essential

Education / Qualifications:Essential

  • Level 5 CIPD, or continuous education e.g. Masters in HR
  • Professional Human Resources/business certification or equivalent industry experience desired

Preferred:

  • A degree in Business Administration, Human Resources or an equivalent/relevant field required
