The Billing and Scheduling Coordinator/Customer Representative reports directly to the Director of Customer Service. 

Job Responsibilities 
  • Answer inquires about company and customer service calls
  • Perform basic bookkeeping, filing, and clerical duties
  • Work as a receptionist backup when needed
  • Respond to customer requests regarding scheduling and shipments 
  • Process orders – performs order entry, reviews orders for correct handling, pricing, quantities, and shipping data
  • Inform customers of unit prices, shipping dates, anticipated delays, and any additional information needed by the customer
  • Scheduling orders in customer portals and arranging product pick-up [
  • Partner with the Shipping department to ensure on-time delivery 
  • Issue customer invoices through EDI portal for MWC customers
  • Create customer labels
  • Email and mail out custom invoices for MWC
  • Assist with MWC customer service calls and replacement part inquiries 

education and Work experience Requirements 

  • High school graduate or General Education Degree
  • 5-7 years prior billing, scheduling and customer service is required
  • Ability to coordinate multiple tasks in a fast-paced environment
  • Excellent communication skills
  • Ability to convey product information and availability to customer 
  • Must possess the ability to deal tactfully with customers
  • Self-starter and self-motivaed
  • Ability to work as team player
  • Must demonstrate autonomy-ability to work independently and complete assigned tasks with minimal supervision 
  • Excellent problem-solving skills
  • Excellent organizational skills
  • Maintain punctual and regular attendanc
  • Experience using MS Office Suite
  • EDI experience preferred but not required 

Physical Requirements

  • Office enforcement
  • This position may require occasional work in the evenings or weekends
  • Some occasional lifting (up to 25 pounds)
  • Ability to sit, stand, or walk distance for up to 10 hours per day
  • 20/40visionin each eye, with or without correction, is required
  • Must be able to comply with all safety standards and procedures
  • May stoop, kneel, or bend, on all occasional basis
  • Ability to wear personal protective equipment is required (hair net and closed toe shoes)
