Business Support Partner
Darent Valley Hospital
Full time – 37.5 hours per week, 2 weeks 0800-1600, 2 weeks 0900-1700.
Salary £23,000 – £30,000 depending on experience, plus Serco benefits.
Main Purpose:
The Business Support Partner is responsible for providing administrative assistance to the DVH Management Team & wider Contract, including management of weekly service line rosters, management, and maintenance of the daily signing in process which will inform the payroll, management and maintenance of the annual leave process, further administrative support as required, supporting estates and project activity, managing the purchasing and the procurement processes, and supporting with payroll.
Main Accountabilities:
- Responsible for working with estates and project managers for the forecasting, allocation and agency bookings for service line rosters.
- Responsible for the reconciliation of overtime and agency use against weekly and monthly payroll.
- Point of contact for all agency bookings and liaison with agencies, including invoicing.
- Coordinate production of reports and activities in support of contract governance as requested.
- Provide detailed, efficient, and timely data entry into the time and attendance system to ensure all employees on contract are paid correctly.
- Daily management of the time and attendance systems to ensure all employee information is accurate and up to date.
- Responsible for working with the service line managers to ensure the accurate recording of hours for all Serco staff and agency staff against service line rosters, this includes the tracking of overtime and reconciliation against weekly and monthly payroll.
- Provide administrative support (including minute and note taking) to all management team processes and meetings as requested.
- Support payroll administration including completing, gaining the required approval and sending all necessary forms to payroll for processing; scanning payroll documentation before cut off deadline; thorough checking of payroll information using agreed company process; dealing with ad hoc payroll queries, and acting as a gatekeeper for payroll changes. Ensuring overtime and sickness absence processes are adhered to and submitted within the appropriate timescales.
- Contract lead for purchasing and procurement (delegated to service lines for estates and projects & lifecycle). Undertake procurement activities in support of contract administration through Guided Buying.
- Ensure that the vetting and right to work of existing staff and new starters is correctly conducted and recorded. Ensure any ongoing periodic checks are undertaken in the correct timeframe.
- Coordinate the attendance and administration of training events, staff induction and briefings as required.
- Support the management team with recruitment and induction/training activity as required.
- Appropriately raise purchase orders in line with Serco policy and in line with delegated authority levels. Ensure relevant invoices are correctly receipted.
- Support people management administration tasks as required by contract and service line managers.
- Support compilation of the Business Performance Review – compile data from key service managers (HoE, Finance, HR, HSE Commercial, Care Governance) in defined format to enable monthly report submission.
- Support compliance team with reporting and CAFM assistance when required.
- Assist with the updating of PPM, asset records and development of workload management through the FM Management and other systems.
- Ensure all documentation is completed wholly and accurately by the estates workforce.
What you will need for the role:
- Excellent communication skills – builds strong relationships within the team and across the contract. Possesses excellent written and verbal communication skills.
- Highly detailed, conscientious and delivery focused.
- Discrete and able to deal with sensitive information (payroll and HR).
- Excellent organisational ability with superior time management skills and the capacity to work independently to deliver results with initiative, responsibility and discretion.
- Demonstrates a flexible approach to work, is self-motivated with the ability to juggle multiple priorities.
- Experience of working in a Business Support role
- Excellent IT skills, particularly in MS Excel, Powerpoint and Word.
- Procurement/Guided buying training provided.
- Payroll experience desirable.
- A specific objective of this role is to maintain data integrity and accuracy at all times in order to ensure business decisions are based on reliable information.
- Must have knowledge and understanding of CAFM systems.
