Duties and Responsibilities:

  1. Under the direction of the Associate Dean for Academic Affairs (ADAA) coordinate program operations to include creation, implementation, interpretation, and maintenance of day-to-day functions, policies, practices, and systems.
  2. Provide administrative support to the Associate Dean for Academic Affairs, Graduate Chair and Master’s Program Directors by preparing internal and external correspondence, project management timelines, progress reports, and presentation materials.
  3. Develops and maintains various databases for various program activities, such as curriculum, student recruitment trends, enrollment, graduation and attrition.
  4. Assists the ADAA and Graduate Chair in responding to program complaints and addressing academic grievances including document preparation, meeting summaries, serving as a liaison and other follow-up activities while maintaining a high level of confidentiality and diplomacy.
  5. Assists in preparing and monitoring initiatives to support development of faculty.
  6. Coordinate workshops for faculty development and site visits for program consultants who are invited to provide recommendations for program improvement.
  7. Coordinate and attend meetings of the UH Statewide Nursing Consortium, Graduate Program Curriculum and Student Affairs Committees including preparation and dissemination of meeting agendas and minutes.
  8. Provide support for student recruitment efforts such as information sessions, career fairs, supporting Manoa/Statewide program partnerships, as requested.
  9. Collaborate with the Office of Student Services on student issues and updates.
  10. Maintain the Associate Dean’s calendar and appointments/meetings.
  11. Prepare and process fiscal and personnel documents ensuring conformity with University and State fiscal policies and procedures and propriety of expenditures.
  12. Assists the ADAA with coordination of special events that promote the school and/or ADAA such as new faculty and new student orientations.
  13. Keep abreast of current University, State and Federal policies, procedures, regulations.
  14. Serve as a back-up for other support personnel as needed.
  15. Other duties as assigned.

Minimum Qualifications:

  1. Possession of a baccalaureate degree in business administration, management, communication, education or related field and 1 year of progressively professional experience with responsibilities for project management, budgeting, researching, marketing, report writing; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Functional knowledge of principles, practices and techniques in administrative and project management, researching, report writing demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with academic/student affairs.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of academic/student affairs.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. Demonstrated ability to communicate effectively with a variety of individuals and groups in a variety of situations, both orally and in writing.
  9. Demonstrated very good time management and organizational skills, multi-tasking skills, detail-oriented and effective in managing projects.

Desirable Qualifications:

  • Knowledge of university policies and procedures as they pertain to major duties of the position.
  • Knowledge of student information systems such as BANNER and STAR.
