Job summary
This role is in our Commercial Function within the Resource Division of UKEF.
The Resource Division provides a number of business services to UKEF, these include (1) leading on people related activities that are part of the employee lifecycle; (2) cyber and personnel security, ensuring the safety of our staff and assets; (3) managing our facilities and estate requirements; and (4) commercial activities through our new Commercial Function, ensuring goods and services are procured using sound judgement and maintaining excellent relationships with suppliers

The role of Commercial Officer sits within the newly formed Commercial Function. This team is responsible for the commercial approach and procurement activities across UKEF.
The role holder will support across the whole team as well as working with stakeholders, suppliers and other key personnel to help with day-to-day management of enquiries, processes and communications. The role holder will be the first point of contact for the team and will take ownership of enquiries and activities to completion.

Job description
The Commercial Officer has significant contact with staff at all levels in the Commercial Function and wider Resources Division and other key areas of UKEF and its external stakeholders, whilst also effectively supporting the business outcomes of the Commercial Function. The Commercial Officer role requires a large amount of autonomy. The post holder will need to be particularly adept at prioritisation, often having to work with very little guidance from their busy Managers.
This role requires the post holder to deal with a range of issues in respect of the management of the commercial mailbox, diaries and inbox management pressures, organising meetings, providing secretariat services and coordinating key tasks . The Commercial Officer is expected to be able to make objective decisions, using sound judgement, evidence and knowledge when delegating work in their manager’s absence and supporting activities on the Atamis eSourcing platform. Casework activities will be varied but they will be required to use their own judgement in interpreting requests from customers and preparing first drafts of correspondence in response.
Key responsibilities and deliverables in the role are:
- Coordinate secretariat function activities for governance.
- Replying to enquiries and sending out documents as required.
- Updating and maintaining the ‘Commercial Hub’ site with information and news
- Document control of commercial policy, guidance and templates.
- Assist with commercial pipeline reviews and business updates.
- Coordinating updates to key documents including risk registers or business continuity plans
- Support with contract data on Atamis eSourcing platform (training will be given)
- Supporting policy activity, for example through research.
- Diary management as required.
- Planning and organising meetings and taking minutes.
- Preparing papers for meetings.
- Planning and organising of events.
- Preparing presentations.
- Typing documents.
- Arranging travel /accommodation if required.
- Meeting and greeting visitors at all levels of seniority.
- Liaising with OGDs and other staff.
- Managing invoices.
- General administrative and team activity as needed
