Reporting to the Assistant Company Secretary, the Company Secretarial Administrator will assist the wider Company Secretariat Team with corporate calendar management, collation & distribution of meeting packs for the Group’s UK and overseas entity boards and committees, and maintenance of internal corporate records and statutory filings.
The Company Secretarial Administrator will support the organisation in achieving governance best practice and ensuring the governance structure is appropriately embedded and maintained throughout the Group.
Whilst previous experience isn’t essential for this role, it’s essential that you are highly organised and diligent with an excellent ability to grasp new technical concepts and skills. This role offers an exciting opportunity to gain broad exposure across Company Secretarial practices, whilst taking responsibility for various administrative process within a supportive and collaborative team.
About the role
- The main duties of the Company Secretarial Administrator will involve but are not limited to:
- Maintain the Group’s corporate calendar, including coordination & scheduling of board and committee meetings, and forward-planning for future years;
- Assisting with meeting logistics including meeting room preparation;
- Liaise with stakeholders across the business and externally;
- Collate and quality check board and committee meeting papers and ensure timely distribution via Diligent Boards;
- Ensure all statutory filings in the UK and overseas are completed and up-to-date corporate registers and records are maintained;
- Maintain company and individual information on Diligent Entities;
- Monitor the Company Secretariat inbox;
- Assist the wider business in completing KYC checks;
- Provide general administrative support to the Company Secretariat team as required.
About you
The ideal candidate will have excellent verbal and written communication skills, with the confidence to build professional relationships with senior internal and external stakeholders. The successful candidate will also have:
- Proactive, dynamic, with a can-do attitude and the ability to be flexible as required.
- Strong attention to detail, good organisational and time management skills, with the ability to juggle multiple different matters and keep track of critical deadlines
- A keen interest in business / company law
- Basic knowledge of company law highly regarded, but not essential
- A levels or a degree in a relevant field would be highly regarded, but not essential
