One of our government clients is looking for a Contract Coordinator (Commercial) – Legal Terminology – Contract Management – Gaming Industry exp.
Length: 5 months Contract (end date March 31,2025) with the possibility of an extension or turning to FTE
Location: North York, ON (Hybrid- 3 days per week in office & 2 days remote)
Working Hours: Monday – Friday, 9:00am – 5:00pm (7.25hrs/day)POSITION SUMMARY
The Contract Coordinator (the “CC”) will assist the Senior Commercial Contract Manager (the “CM”) and Director Relationship Management in managing the contract lifecycle between client and the Service Provider (the “SP”).ROLE TASKS TO BE PERFORMED BY THE RESOURCE

  • Assist in managing the Transaction Agreement.
  • Obligation management assistance.
  • SFTP upload/download and subsequent required actions
  • APTTUS upload/download
  • Deliverable dissemination to internal stakeholders
  • Records maintenance – Assist in maintaining thorough records of all transactions
  • Maintain traceability log on a day-to-day basis
  • Log incidents, deficiencies, issues and other items
  • Assist with root cause analysis
  • Assist in following up and driving towards resolution and closure of all items
  • Assist in maintaining thorough records for any items logged
  • Payments
  • Assist with processing biweekly and ad hoc payments in PeopleSoft
  • Assist in preparing Purchase Orders and Cheque requisitions
  • Contract changes
  • Assist with information gathering
  • Assist in completing risk and impact assessments
  • Assist in assessing value of proposed changes
  • Follow up with stakeholders for feedback
  • Internal and external meetings:
  • Documentation of meetings including catalogue of artifacts
  • Follow-up on action items
  • Identify opportunities for improvements and increased efficiencies
  • Represent contract manager as required
  • Assist as back-up to Senior Commercial Contract Manager as appropriate
  • Assist with gathering and compiling performance data for weekly and quarterly status reports – 15%
  • Assist relationship team members with miscellaneous day-to-day activities – 10%
  • FOI Requests (requests will come in from the Privacy Department, CC to upload to SFTP for SP action, CC to download response from SP and close loop with the resource)
  • Notification Protocol Actions (Disseminate to the RACI noted in notification protocol)
  • Sharing payment info with SP’s via SFTP (On a biweekly basis Finance Department will provides payment info for CM’s approval, CC to upload to SFTP the info for the SP to download)
  • Drafting of regular approval letters (PIA/IT CONTROLS/etc.)
  • Assist with Contract Amendments/Waivers per the CM direction
  • FINTRAC/AML Exception Reports
  • Participate in OMC’s, prep OMC agenda’s and follow through on action items
  • Lottery questions (training, invoices)
  • Organize and keep SharePoint up to date
  • Customer Care list update (usually on a yearly basis Customer Care will request update to contact listing)
  • SP Access matters (e.g. if SP requires access to system help facilitate this request)
  • Update Waivers /Amendments Governance tracker – update CM ahead of time if waivers expire
  • Keep track of Lease renewal dates and update CM
  • Maintain up to date bundle reference sheets and labour chart
  • Other tasks like creating PowerPoint decks, conducting research, responding to general info requests from business partners and SP
  • ContractHUB (Everything including not limited to below):
  • Managing and logging routine monthly and quarterly deliverables in ContractHub
  • Updating cases and occurrences
  • Deficiency Management / Logging deficiencies in ContractHub and creating deficiency reporting on a weekly and monthly basis
  • Develop look ahead report for OMC’s detailing upcoming deliverables
  • Monitor important non-routine deadlines
  • Insurance renewals
  • Building Maintenance Reports
  • Collective bargaining renewal dates
  • Business Continuity Plan and testing
  • Disentanglement Plans
  • Disseminating obligations for approval

· 1-3 year of experience administrating commercial contracts.
· University degree or college diploma preferred.
· Previous experience in Casino Operations or the Gaming Industry would be considered an asset.
· Experience working in a public sector and/or highly regulated environment.
· Experience working with legal terminology related to Service Provide contracts.TECHNICAL SKILLSET FOR THE ROLE
