Responsibilities:

The position “Coordination Manager” reports to Executive Assistant to the Executive Director is responsible to play a pivotal role in planning, coordinating and organizing administrative services, utilizing available resources and equipment optimally with the objective of enabling smooth operation of administrative services of the Office of the Executive Director Within organizational values and guidelines.

The Coordination Manager will be responsible for the following:

  • Planning & Organizing: Plan, Coordinate and Organize administrative support functions of the office of the Executive Director; Set objectives, timelines, and performance metrics for various tasks; Prioritize tasks and delegate responsibilities effectively; Coordinate finalization of the implementation/strategic plan; Develop and manage timelines to ensure all deadlines are met; Provide updates to Senior Management on any challenges encountered;
  • Office Administration & Coordination: Track and understand requests for administrative support (e.g. stationery, transport, travel, accommodation, reimbursements, finance, procurement);Coordinate the distribution of resources, such as personnel, equipment, budget to various parts of  operation; Prepare  different routine memos and correspondence letters; Prepare the annual and forecast budget with the assistance of supervisor; Track budget updates, procurement requests; Liaise and follow up directly with service team (e.g. Finance, Procurement) to execute request;
  • Event Management: Plan and organize Board meeting, SAG meetings, conferences, training, workshop and provide all sorts of administrative and management support; Set meeting agenda; Manage diary of different events effectively; Ensure that the diary is updated immediately; Keep all interested parties updated in case of any changes in a timely manner; Use own judgement to manage conflicting diary engagements and find ways of resolving them;
  • Inventory and Resource Management: Provide logistics support ,capture fixed asset information (issue date, assigned user, assigned location, cost etc.) on procurement of fixed assets for ED Office; Check equipment condition and raise maintenance requests if necessary; Coordinate Disposal of assets; Initiate HR requisition to deploy manpower according to needs; Deploy action items for competency development; Promote a spirit of collegiality and gender diversity among team members and in the organization; Provide an equitable environment for the development and growth of all team members.
  • Stakeholder Management: Facilitate effective coordination among internal and external stakeholders to ensure alignment with objectives and timelines; Create liaison between different teams or departments to ensure clear and effective communication; Identify potential issues or conflicts and implementing solutions to keep operations running smoothly.

Required qualification and experience:

  • Masters in Social science/Business administration. Advanced Training in management will get preference.
  • 8 years of relevant experiences. Candidate having experience with similar organization/ INGO will be preferred;
