Major Purpose:

Provide administrative support on-site at the P66 Refinery.

Responsibilities / Job Duties:

  • Assist the management team to ensure needed tasks are completed
  • Perform general clerical duties to include, but not limited to: copying, faxing, scanning, mailing, and filing.
  • Prepare administratively for team member meetings (supervisor meetings, safety meetings, new team member orientation, etc.).
  • Assist in all aspects of training documentation and recordkeeping
  • Maintain team member files
  • Schedule team members for required annual training
  • Schedule and coordinate travel needed
  • Arrange on-site access for visitors
  • Create memos and record meeting minutes
  • Coordinate catering and other needs for on-site meetings and events
  • Provide clerical and administrative support for the department
  • Manage various company programs
  • Perform office assistant/runner duties when necessary
  • Cross train with the Financial Coordinator to assist during PTO and high work volume periods
  • Plan and coordinate activities that perpetuates the Savage culture and builds team member morale including, an effective on-boarding process, training, company events, etc.
  • Perform other various tasks as assigned

Requirements/Qualifications:

  • No specific industry background required; however, experience in the areas of transportation, refining and or industrial environment is preferred
  • Excellent planning and organizational skills, with the ability to prioritize and carry critical projects to completion
  • Candidates with a positive and professional attitude who are confident, enthusiastic, friendly and honest, have been the most successful in this position
  • Computer and internet savvy including Microsoft Office Suite and Microsoft Outlook
  • Hardworking and self-starter with the ability to work independently
  • Anticipates problems and has the ability to bring about creative solutions
  • Set an example of professionalism and service
  • Willingness to participate in an employee based safety program and contribute to a safety culture
  • Clean driving record and ability to safely operate automobiles
  • Able to acquire and maintain a TWIC card, BOP and Site Specific credentials that require an extensive background check and clean criminal history

education/Experience:

  • High School Diploma or equivalent
  • Ability to travel on an occasional basis

Physical Requirements:

  • Must be able to safely lift at least 40lbs
  • Must be able to safely climb stairs and ladders
  • Willing to work in and around an industrial environment
