Job Summary:

The Arizona Department of Corrections is seeking a qualified individual to perform clerical work of average difficulty regarding inmate records.

Job Duties:

  • Sorts, posts, replaces, and copies large volumes of documents and information in offender files in a timely and accurate manner
  • Prepares offender locations and status documents for use by supervisors and managers in preparation of reports
  • Processes incoming and outgoing mail, date stamp, and sort mail to appropriate locations
  • Operates automated data storage, retrieval equipment, computer, copy machine, and faxes
  • Performs manual processes to obtain or input information in offender files
  • Searches files to locate and retrieve requested information
  • Researches files to provide routine information to authorize agency staff and all law enforcement representatives
  • Provides responses to phone inquiries by utilizing the Arizona Correctional Information System (ACIS) for correct responses
  • Maintains file records and documents, locates, and responds to inquiries
  • Gathers and prepares routine information from case records and other sources for transmittal to Central Office Records (COR)
  • Responds to telephone inquiries
  • Attends staff meetings under the direction of the supervisor
  • Receives and provides information pertinent to the work activities and systems
  • Attends all mandatory training
  • Drives on State business
  • Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Office practices and procedures
  • Laws, rules, policies, and procedures governing offender files and documents
  • Sort, post, and file offender documents and information in offender institutional files
  • Automated/manual storage and retrieval techniques and equipment
  • Numerical and digital filing systems
  • Basic office equipment including fax, copier, and telephone
  • Proper grammar and spelling
  • Computers and various software programs, including Microsoft Office and Google

Skill in:

  • Rules, regulations, ADCRR policies, and procedures as they apply to offender records
  • Written and verbal communication
  • Establishing and maintaining interpersonal relationships
  • Customer service
  • Office procedures, practices, and techniques
  • Attention to detail

Ability to:

  • Operate various office equipment, including computers, faxes, phones, scanners, and copiers
  • Learn to use the Arizona Corrections Information System (ACIS)
  • Learn to apply the laws, rules, and policies governing offender files
  • Learn through repetition, practice, and on the job training
  • Follow both verbal and written guideline
  • Work in a prison environment

Selective Preference(s):

  • High School Diploma or GED

Pre-Employment Requirements:

In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

May require possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).

Retirement:

Positions in this classification participate in the Arizona State Retirement System (ASRS).

Enrollment eligibility will become effective after 27 weeks of employment.
