Job title: Development Administrator 

Salary: £28,890 – £31,000 PA

Location: London Transport Museum/ Cranbourn Street,Leicester Square,London & Hybrid (two days minimum in the office)

Contract Type: Permanent – Band 1MB 

Hybrid workng within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.

Overview of project/role

The post holder will be one of two administrative assistants to the Development team, providing full and varied administrative support to the Development team.

The post holder will work closely with Senior Development Managers and the Development team with administrative tasks associated with the Museum’s charitable and enterprise income generation.

Key Accountabilities 

  • Provide internal and external meeting support to the Development team including meeting management and organisation agenda preparation, sending invitations, minute taking, coordination of paper submissions and dissemination, following up actions, arranging room bookings, catering, travel arrangements and accommodation bookings, receive visitors, answer phone and email queries and ad hoc duties as required.
  • Oversee Development team financial processes including raising purchase orders, invoices, proformas and credit notes, registering new suppliers and vendors, taking and chasing payments, issuing donor thank you letters, recording of financial and donor information on the database, Gift Aid claims, collection boxes, contactless and online giving and contract administration including signing, scanning and filing.
  • Assist in the delivery of Development team events including Patrons Circle cultivation and stewardship events, the Interchange thought leadership programme, Fundraising Dinner and Auction, exhibition private views and other fundraising events. Specific duties will include managing guest lists and table plans, event logistics, liaison with potential donors and auction donors, and delivery of auction items
  • Liaise with the Development team to maintain the Development pages of the Museum website and Supporters screen with up-to-date information on Major Donors, Patrons, Corporate Members, Museum sponsors, funders and other team projects and initiatives.
  • Assist with the design and production of a range of materials including co-ordinating content for the quarterly stakeholder and Patrons newsletter collaborating with the managers across the business for accurate and relevant content.
  • Actively maintain the departmental database in line with GDPR legislation, update records, conduct research into current and prospective supporters, clean data, manage mail merges, events lists and mailings ensuring communications are sent on time and to right audience, collating feedback and responses for wider team’s use. The post holder will also manage the electronic filing system, and photographic database, maintaining comprehensive and retrievable files and records for the team.

Skills, Knowledge & Experience 

  • Office administration and meetings management.
  • Good working knowledge of MS Office products including Word, Excel, PowerPoint and Outlook
  • Good database management skills and working knowledge of a relevant database package
  • Good written and verbal communication skills and the ability to present themselves well in a range of situations
  • Good stakeholder management
  • Excellent administrative, finance, planning and organisational skills and attention to detail
  • Ability to work under pressure, prioritise and manage time effectively to meet deadlines
  • A flexible approach. Able to adapt to a range of situations
  • Willing to work evenings and weekends as the work programme enquiries.
  • Interest in the transport, museums and heritage sectors
