YOUR OPPORTUNITY

The Development Operations Manager is responsible for managing the data services area within THL’s Development department. You will set the operational standards for the team by ensuring the quality and integrity of THL’s donor database, creating and documenting policies and procedures, and empowering the team to make data-informed decisions. You will play a key role in short- and long-range planning for the database, gift processing, and data analysis and reporting.

Your work will help THL meet its fundraising goals by providing data insights to the Development department and by contributing directly to the excellent stewardship of our donors. We want you because you are an organized, detail-oriented individual who works well independently as well as collaboratively. You bring excellent technical, communication, and problem solving skills to this role. This position reports directly to the Associate Director of Donor Care.

This is a full-time, remote position. This position requires domestic and international travel, equivalent to 2 or more trips per year.

This position is based in the United States. The successful candidate must be authorized to work in the United States.

ESSENTIAL JOB DUTIES

Data integrity and analysis (35%)

• Supervise, manage, and maintain the overall design, use, and accuracy of EveryAction, THL’s CRM.
• Oversee data entry, gift processing, and gift and pledge accounting while ensuring the maintenance of accurate and comprehensive records. Manage data-related projects that are implemented by the Development Coordinator.
• Serve as the technical lead for the Donor Relations and Donor Care teams, technical advisor to the Advancement team, and the Development department’s liaison to THL’s IT team.
• Develop analytics and dashboards for each of THL’s fundraising programs and provide timely reporting and analysis on fundraising progress and donor trends to colleagues in the Development department.
• Ensure data integrity by establishing standards for running reports, list development, and data uploads. Develop and implement protocols for excellent data hygiene in EveryAction.
• Investigate, suggest, and implement new ways of representing fundraising data; this includes liaising with the IT team to build reports and analytics in Metabase, THL’s data warehouse.
• Develop and update Standard Operating Procedure (SOP) documents. Proactively identify areas needing operational improvement and make recommendations to the Associate Director of Donor Care.
• Represent the Development department in special projects and org-wide initiatives; this includes liaising with the IT team to evaluate the Development department’s CRM needs and potentially supporting a CRM migration in the future.

Gift entry and reconciliation (30%)

• With support from the Development Coordinator, enter all gifts into EveryAction, aside from those handled by the caging company. Coordinate with THL’s Finance team and colleagues in the Development department to ensure proper tracking and acknowledgement.
• Receive and verify the import file from the caging company, and upload it into EveryAction.
• Process third-party gifts.
• Identify and resolve problems with offline or online gift processing. This may include direct contact with donors, or assigning others to reach out to donors, as well as collaborating with the Advancement and/or Digital Projects teams. Immediately inform gift officers about any assigned donors whose gifts need attention. Handle write-downs in EveryAction.
• Reconcile donations with the Finance team on a monthly basis.

Managing relationship with THL’s caging services provider (25%)

• Serve as the liaison to, and primary point of contact for, the caging company.Ensure donations and acknowledgements are handled accurately, on time, and in accordance with THL’s policies.
• Track and report on caging company expenses in line with the department budget. Explore opportunities to increase efficiency in partnership with the caging company. Acquire estimates for service changes and for annual budgeting purposes.
• Facilitate Development department requests for special projects or mailings to be handled by the caging company.
• Ensure caging company requirements are met by other internal and external vendors working with THL.

Administration (10%)

• Provide backup for phone calls, emails, and website inquiries, as needed.
• Represent the Development department on inter-departmental projects, as needed.
• Manage THL’s USPS systems (PO Boxes, mail forwarding, permit, and other renewals), troubleshoot mail-related issues, and develop SOPs for mail-related procedures.

In addition to the above essential job duties, other duties may be assigned as business needs arise. These may include non-essential, marginal job duties.

REQUIRED SKILLS

• Experience: 3+ years of experience in fundraising or development operations, and 3+ years of experience with relational databases (e.g. EveryAction) and spreadsheets, including direct involvement with gift recording, receipting, and data hygiene. Solid understanding of nonprofit fundraising and operations.
• Leadership: Encourages collaboration and contributes to a team culture of open communication, idea sharing, and empathy, while ensuring the team remains focused on achieving its goals. Mentors team members and provides training on the use of the donor database and other systems. Interest in, or previous experience with, people management. (This position may expand to include supervisory duties in the future.)
• Data Analysis: Skilled at collecting and analyzing data in order to help spot trends, identify problems, and inform fundraising and operational decisions. Performs advanced analysis on complex datasets, applying statistical techniques to extract insights and provide actionable recommendations. Communicates findings clearly to support informed decision making.

• Financial Acumen: Basic knowledge of nonprofit finance. Ability to work with THL’s Finance team to track and reconcile donations.

Compensation and Benefits

• The annual compensation range for this role is $80,392 $98,257 USD.
