We are seeking a Directors’ Assistant and Office Manager to work with the senior leadership team and at the heart of the Foundation. You will report into the Foundation’s COO and will work closely with the Senior Leadership Team to provide administrative support to them. You will also act as Office Manager, supporting the onboarding and offboarding of staff and acting as a point of contact to the teams facilitating the running of the office building in London. As Directors’ Assistant and Office Manager, you will be an integral part of Foundation team and will be instrumental in the smooth running of the organization and our pursuit of impact. 

About the Role 

As Directors’ Assistant and Office Manager you will: 

  • Manage diaries of the Senior Leadership Team (except CEO, Director of Product & Technology and Editor-in-Chief), including meeting arrangements, guest registration, and booking meeting rooms, and other administrative management as required
  • Ensure successful organisation of small-scale internal and external events and meetings as required
  • Facilitate SLT travel and handle additional logistical matters as needed
  • Ensure successful onboarding/offboarding of staff/contractors in TRF, including managing SRM procurement for SLT and their teams; setting up new staff / contractors in liaison with IT; IT equipment; building access pass;
  • Support induction processes for TRF staff, including collecting feedback on inductions from new joiners
  • Support the Operations Team with maintenance of resources on the Foundation Hub, including maintaining TRF staff organigrams, and discreet Operations Projects such as annual surveys and uploading resources to the Foundation’s website.
  • Organize and maintain internal databases, including TRF’s staff distribution lists
  • Act as a primary point of contact for teams that support the running of the office building in London

About You

To be our Directors’ Assistant and Office Manager, you will likely possess: 

  • Excellent interpersonal, administration, communications, and computer skills
  • Ability to be proactive, work on your own, deliver and co-ordinate for the SLT on key administrative tasks, events, and conference initiatives
  • Excellent organisational skills, be detail-oriented, a problem solver, and have the ability to work with different teams and stakeholders
  • Aptitude for multi-tasking, prioritising workload and delivering under time pressure
  • Excellent knowledge of Microsoft Office applications and system technical skills required
  • High level of personal integrity, trustworthiness, and the ability to handle confidential information with the utmost discretion
  • Personal or professional interest in the social, humanitarian, and environmental areas
  • Fluent in written and spoken English, additional languages desirable
