Overview

The Event Operations Specialist leads project management, logistics, and on-site execution for a defined portfolio of tradeshows and conferences. As a core member of the Global Events team, this role ensures events are delivered smoothly in alignment with Waters’ brand, business goals, and operational standards.

This individual is responsible for driving the event planning process end-to-end including coordinating timelines, managing deliverables, directing cross-functional alignment, and ensuring all logistics are executed accurately and on schedule. This is a highly hands-on role that requires strong project management discipline, exceptional organization, proactive communication, and the ability to lead partners and vendors through complex execution.


Responsibilities

    Event Project Management
  • Manage the detailed project management, planning and execution of assigned tradeshows and events, including timelines, logistics, documentation, and run-of-show.
  • Act as the operational point of contact, coordinating with cross-functional stakeholders to ensure alignment with business goals, product messaging, and brand standards.
  • Gather requirements and confirm deliverables with stakeholders across Event Marketing, Product Marketing, and SMI Campaigns.
  • Provide proactive status updates, lead event planning meetings, escalate risks as needed, and maintain planning visibility.
  1. Event Operations
  • Oversee all pre-event logistics and operational planning, including venue and show services coordination, floor plans, electrical/internet/rigging orders, catering, shipping schedules, warehouse logistics, travel and staffing planning, and management of booth assets, graphics, signage, giveaways, collateral, and equipment.
  • Lead on-site event execution for select high visibility events, managing vendor oversight, booth set up and teardown, AV and technical readiness, and real-time problem solving to ensure a smooth and professional event experience.
  • When not on-site, coordinate and train on-site team members (Product Marketing, Sales, etc.), providing remote direction, escalation support, and real-time problem solving to ensure consistent delivery and operational coverage.
  1. Procurement & Vendor Coordination
  • Manage procurement tasks for assigned events, including submitting purchase requests, coordinating purchase orders, and working within Waters’ internal systems.
  • Assist with vendor sourcing and coordination for booth builds, AV services, shipping providers, print and collateral production, and other operational needs.
  • Support inventory, warehousing, and collateral management by tracking quantities, arranging shipments, and ensuring items arrive on time and in good condition.


Qualifications

  • 3-4 years experience in event logistics or event operations within a corporate or agency environment.
  • Strong project management skills with the ability to drive timelines, manage detailed workstreams, and coordinate cross-functional partners.
  • Highly organized with strong time-management capabilities and the ability to handle multiple events and competing priorities simultaneously.
  • Skilled communicator who can collaborate effectively across teams and operate confidently in a fast-paced, matrixed environment.
  • Proactive problem-solver who anticipates needs, escalates risks early, and takes ownership with increasing independence.
  • Comfortable working hands-on with event systems and tools (e.g., Smartsheet, Teams, Cvent, Excel, Ariba, etc.)
  • Ability to build strong relationships with stakeholders and vendors, contributing to a culture of operational excellence and continuous improvement.
