To us, communication, professionalism and discretion is everything and we are now looking for an Executive Assistant to maintain these values from our London office for our senior UK Partner team.

Key Responsibilities

  • Maintaining detailed calendar management, email management and meeting coordination.
  • Coordinate and manage the Partner’s schedule, including meetings, appointments, and travel arrangements across time zones.
  • Anticipate scheduling conflicts and proactively resolve them to optimize the Partner’s time.
  • Research, organize and prepare materials for meetings, ensuring the Partners are well-informed.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Act as a trusted advisor and maintain a high level of professionalism in all interactions.
  • Able to build strong relationships and have exceptional relationship management skills.
  • Build and maintain positive relationships with internal and external stakeholders.
  • Provide general administrative support, including managing expenses, contracts and spreadsheets and more general administrative support for the wider UK business, as required.
  • Inputting data into internal systems and handling other ad hoc tasks.
  • Assist with special projects and initiatives as assigned by the Partners, contributing to the overall success of the organization.

Requirements:

  • 2-3 years of prior C-level Executive Assistant work experience, preferably in a medium to large firm.
  • Detailed oriented with strong organizational and problem-solving skills.
  • Working in discretion and confidentiality is essential.
  • Self-starter with the ability to complete tasks under tight deadlines.
  • Excellent verbal and written communication skills.
  • Comfortable working with ambiguity.
  • IT literate including advanced Outlook proficiency.
