Position Title:Executive Assistant, NSI

Reports to:Deputy Director of Operations & HR, works closely with the Executive Director, NSI

Position Status:1-Year Termed Part-Time, exempt (with preference for renewal)

Location: Hybrid preferred, open to remote candidates (core U.S. working hours required)

Salary and Benefits

The salary range for this position is $60,000-$75,000 for 20-30 hours of work per week.Salary will be appropriately adjusted for highly qualified individuals, or in the case that this becomes a full-time role.

About Nuclear Scaling Initiative

The Nuclear Scaling Initiative (NSI) is a collaborative effort of Clean Air Task Force, the EFI Foundation, and the Nuclear Threat Initiative to build a new nuclear energy ecosystem that can quickly and economically scale to 50+ gigawatts of safe and secure nuclear energy globally per year by the 2030s.

NSI’s plan for revolutionizing how nuclear energy is constructed, financed, and regulated will advance climate goals, spark economic development, expand energy access, and ensure that nuclear technology is used for only peaceful purposes.

Summary

EFIF is seeking an Executive Assistant (EA) who functions as an executive operations partner to support an Executive Vice President at the EFI Foundation. This EVP is also the senior executive leading the Nuclear Scaling Initiative (NSI). This role is designed to increase executive and team leverage — not simply manage logistics. The EA will protect executive time, streamline communication and meeting preparation, reduce administrative burden for a small, high-performing team, and strengthen a culture rooted in trust, collaboration, and excellence.

This position regularly interfaces — directly and indirectly — with U.S. Cabinet-level officials, heads of state, corporate CEOs, philanthropic leaders, multilateral organizations, and senior diplomatic figures. The EA must demonstrate impeccable discretion, cultural sensitivity, and protocol awarenessat all times. In this role,etiquette and judgment are as essential as organization and efficiency.As the first point of contact with these stakeholders, the EA must consistently reflect the professionalism of the organization.

The EA is anenabler and amplifier— not a gatekeeper or bottleneck. This role is best suited to someone who enjoys taking responsibility, solving problems before they arise, and serving as a trusted partner to a senior leader.

Your Responsibilities Will Include

Direct Executive Support (primary responsibility)

      • Own calendar management with a priority-first mindset (not just “first available”)
      • Triage inbox: draft routine responses, flag urgent issues, and track follow-ups
      • Prepare concise briefing packets for meetings (context, objectives, attendees, key materials)
      • Coordinate complex travel and proactively manage disruptions or contingencies
      • Maintain a rolling Commitments & Follow-Ups Tracker and drive timely reminders
      • Protect focused work blocks; decline or redirect low-ROI meetings when appropriate
      • Draft professional correspondence, acknowledgments, and routine communications

Outcome:The EVP remains focused on strategy, relationships, and execution — with fewer distractions and missed follow-ups.

EFI/NSI Team Support (friction removal, not management)

Support the Director, Project Manager, and Research Associates by reducing administrative load:

      • Help coordinate scheduling across projects and external partners
      • Track administrative action items and ensure clarity on deadlines
      • Assemble and circulate agendas and notes for recurring meetings when helpful
      • Support onboarding logistics for new team members
      • Help maintain predictable team rhythms and follow-through

Outcome:The team spends more time on substantive work — and less on logistics.

EFI VP Coordination (as needed)

      • Help coordinate VP-level meetings and touchpoints across EFIF
      • Prepare short pre-briefs ensuring efficient engagement

General Time Breakdown

Non-NSI VP Coordination (approximately 10%)

What You’ll Need

      • 5+ years supporting senior executives or complex programs
      • Comfort with protocol and cross-cultural diplomacy
        • Demonstrates polished, respectful correspondence suitable for senior global figures
        • Applies correct titles and forms of address (e.g., The Honorable, Her Excellency)
        • Anticipates protocol expectations for high-level meetings and events
      • Experience working around government, diplomatic, corporate, or philanthropic leadership
      • Demonstrated ability to handle confidential and politically sensitive matters and comfort operating in high-stakes, high-discretion environments
      • Exceptional written communication and professional tone
      • Strong organizational systems and attention to detail
      • Ability to anticipate needs and operate independently
      • Comfort coordinating across multiple internal and external stakeholders
      • Proficiency with scheduling platforms, shared drives, and collaboration tools
      • Preferred: Experience in nonprofit, policy, international, philanthropic, or energy contexts
      • Preferred: Experience supporting executive committees or boards
      • Must have work authorization in the U.S.
