This Executive Assistant to the EVP of Health Affairs will:
- Exercise judgment and discretion to handle incoming issues and requests, determining appropriate actions, responses, and solutions in a responsive and professional manner.
- Understand and effectively utilize relevant Hospital chains of command and reporting systems to effectively triage a range of matters, including time-sensitive, challenging, confidential, and sensitive information and matters.
- Manage the calendar for the EVP to ensure effective time management and prioritization of competing demands, applying independent judgment, knowledge of the organization, and understanding of the EVP’s needs and style to support the Executive’s success.
- Demonstrate responsiveness to rapidly make schedule adjustments as necessary to respond to Hospital operations and the EVP’s responsibilities.
- Plan, prepare, and execute logistical and administrative requirements for meetings, interviews, seminars, conferences, and special events.
- Prepare and circulate agendas, minutes, presentations, and other materials for Executive and participants as applicable; may take meeting minutes as requested.
- Anticipate and make logistical and technological arrangements to ensure in-person, hybrid, and virtual meetings execute seamlessly, and participant expectations are clear in advance.
- Draft written communication and correspondence, prepare presentations, and draft other communications as directed. Demonstrate superlative written and verbal communication skills, reflecting professionalism, accuracy, attention to detail, and clarity.
- Monitor and maintain department recordkeeping systems, including highly sensitive and/or critical administrative and financial data.
- Collect and prepare information, documents and other materials in the preparation of annual budget and other matters
To qualify, you must have:
- BA degree or equivalent experience, plus a minimum 3 years of relevant administrative experience in supporting an executive or leader in a complex, fast-paced environment.
- Strong interpersonal skills, as well as excellent written and verbal communication skills.
- Advanced analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
- Must have the ability to work with a high degree of independence from conception to completion.
- Must be able to work under pressure and handle a wide variety of simultaneous activities and confidential matters with trust, confidence, and discretion.

- Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
- Must have the ability to prioritize, oversee, and manage projects and meet deadlines in a complex and fast-paced environment.
- Highly adaptive to new technologies and expert in all key Hospital administrative operating systems, including the Microsoft Office suite and PeopleSoft.
