Winston-Salem State University (WSSU) is seeking a highly skilled and professional Executive Assistant to provide direct support to the Chancellor of WSSU. This position plays a critical role in the day-to-day operations of the Office of the Chancellor and serves as a key representative of the University’s leadership. The Executive Assistant will work closely with the Chief of Staff to manage high-priority requests and ensure that the Chancellor’s time, communications, and commitments align with institutional goals. This role requires exceptional organizational skills and the ability to manage complex and evolving responsibilities. The Executive Assistant will oversee the Chancellor’s calendar, making scheduling decisions that reflect the top priorities of the Office. Acting as the first point of contact for a range of high-level stakeholders, including university leadership, system officials, and external dignitaries, the Executive Assistant must maintain a high degree of discretion, professionalism, and protocol awareness in all interactions.
A key aspect of the position includes preparing the Chancellor for meetings and events by researching, gathering, and organizing background information. The Executive Assistant will be responsible for drafting and reviewing correspondence, ensuring timely responses to internal and external inquiries, and overseeing the flow of documents requiring the Chancellor’s signature. The role also involves assisting with communication efforts and helping coordinate meeting notes and action items.
The Executive Assistant will manage all aspects of the Chancellor’s travel, including the planning of itineraries and logistical arrangements in compliance with university and state guidelines. This includes the preparation and submission of travel expense reimbursements. Additionally, the Executive Assistant will support meeting planning and logistics, ensuring all materials and follow-up actions are coordinated effectively.
In collaboration with other administrative staff in the Chancellor’s Office, the Executive Assistant will help uphold a culture of professionalism, service, and responsiveness. The position also involves monitoring the shared office inbox, addressing or redirecting inquiries appropriately, and taking initiative to find solutions within established guidelines.
The role requires someone who can respond flexibly and thoughtfully to shifting priorities, anticipate potential challenges, and resolve issues efficiently. The Executive Assistant must communicate clearly and effectively with the Chancellor and other key personnel and ensure the Chancellor is kept well-informed of pressing matters.
This position occasionally includes non-routine administrative duties and responsibilities as needed by the Chief of Staff or the Chancellor. Maintains a high level of confidentiality regarding matters pertaining to the Office of the Chancellor, boards and officials served by this position. The Executive Assistant to the Chancellor must have the highest standards of professionalism, confidentiality, excellent interpersonal skills, knowledge of university structure, an ability to handle multiple and complex duties under time constraints, demonstrable evidence of effective oral and written communication skills, ability to manage operations of a similar scope and purpose and the ability to relate to the academic community and various external publics. Administrative/Programmatic responsibilities of the Executive Assistant to the Chancellor include: -reports to the Chief of Staff, maintains effective working relationships with all academic and administrative areas of the university, university officials, University of North Carolina System Office and local, state and federal officials/agencies. This position serves as the primary contact for the Chancellor in scheduling meetings and the preparation of meeting materials and information. Performs administrative duties for the Chancellor and maintains records for the Chancellor. Works with the Chancellor in assembling and referring information to University administrators and University of North Carolina System Office for appropriate action. Job requires the ability to multitask under time constraints and extended work hours, including some weekend.

A baccalaureate degree, master’s degree preferred. Minimum of four years of progressively responsible and related work experience, serving as a senior administrative officer with the ability to interact effectively with high-level officials. Candidate must possess the highest level of integrity, exemplary oral and written communication skills and preferably experience in a comparable setting with management experience or an equivalent combination or training and experience.
* Demonstrate sensitivity to understanding the diverse academic socioeconomic, cultural, disability, and racial/ethnic backgrounds of university college students, faculty, staff, and the community. * Exercise independent judgment, sensitivity, and confidentiality regarding the Office of the Chancellor, boards and officials in performing the administrative details and coordinating the responsible technical and administrative support function of the office with considerable knowledge and interpretation of university policies and procedures. Additional skills required include the following:
* Ability to perform required work accurately and consistently * Highly computer literate and comfortable with acquiring new skills, with specific in-depth proficiency in the MS Office Suite.
* Ability to work/multi-task under time constraints; flexible at setting and revising priorities, and managing multiple projects. * Ability to accurately interpret and apply university and system policies. * Excellent communication skills, excellent interpersonal skills, sound judgment * Must demonstrate ability to set priorities in scheduling appointments to make the best use of the Chancellor’s time
