Health Information Management Technician Part-Time – (CAL000HH)
Description
The HIM technician is responsible for preparing the charts for assembly and completion. The technician is the key person in maintaining the assembly and completion of doctor signatures for medical records. This Clerk is also responsible for answering requests for medical records from the clinic and is also responsible for the delivery of medical records to other locations in the hospital. The HIM technician shall have knowledge of procedures performed in the HIM Department. The technician should have previous experience with the use of a computer. Two years previous experience in a HIM Department is preferred. The technician shall be quick to learn and adapt to change with minimal errors. The technician shall also demonstrate good telephone manners and work well with others.

- The technician shall scan all medical records the first working day post discharge.
- Analyzes medical records for chart deficiencies within 3 days of discharge.
- Assist with notifying the physician about their incomplete records.
- Re-review records after the physician signs to ensure that they are properly completed.
- Answers physician’s and office questions regarding record deficiencies.
- Daily pulls incomplete records and transports them to the appropriate location for physician signatures.
- Serves as a backup for the other HIM Technicians in the department.
- On a weekly basis, gives the Department manager a report of all incomplete records and status.
- Contacts the residents on a weekly basis about incomplete records.
- Releases records to physician offices and insurance companies for continuum of care.
- Answers phone by third ring and as according to department policy
- Monitors the need for supplies in the department and prepares the requisition for supplies
- Adheres to policies and procedures pertaining to confidentiality of information contained in the medical record and release of information.
- Assists in pulling and filing medical records as needed.
- Pulls medical records and delivers to various hospital locations within 15 minutes from the time that the record is requested.
- Corrects duplicate medical records numbers in computer system.
- Adheres to policies and procedures on removing and replacing medical records from the file area.
- Understands use of all equipment and use of master patient index files to locate records.
- Files loose materials according to work schedule.
- Participates in monthly departmental in-service education.
- Performs other duties as assigned.
