The University of Colorado Boulder is searching for a Health Records Information Manager! This position serves as an organizational expert for Health and Wellness Services (HWS) in handling incoming records, releasing patient health information and medical records, coordinating medical referrals, and running the New Student Immunization Requirement process. The Manager should possess a comprehensive knowledge of medical, administrative, ethical and legal requirements and standards related to healthcare delivery and the privacy of protected patient information. The Manager will collaborate with others to define procedures within the Health Information Management (HIM) system to maintain the workflow of health information, perform quality verification audits, and complete daily/weekly reports for compliance monitoring.
This position supports the organization’s vision and direction for clinical documentation and functions independently and as a leader for all HIM functions. This role will supervise up to 2-3 FTEs in the completion of these duties.

The Wardenburg Medical Clinic provides a wide range of services for students including: primary care for illnesses and injuries, as well as chronic conditions, physicals, sexually transmitted infection testing and treatment, allergy shots, vaccinations, travel health care, and concussion care.
What Your Key Responsibilities Will Be
Health Records Information Management:
Serve as an organizational professional in managing incoming records, releasing patient health information and medical records, and coordinating medical referrals.
Be responsible for the acquisition of outside records for providers, patient visits, or from the health information exchange.
Administer the medical records life cycle, including processing, scanning, storage, retrieval and disposition requiring a thorough knowledge of legal medical record requirements, medical record forms/content and relevant clinical workflows.
Serve as a subject matter authority for health information operations including evolving documentation opportunities, record retention, and assurance/monitoring of data integrity. Assist in collecting and analyzing patient data.
Manage all elements of process reporting such as ER transfers, M1 holds, and State Immunization reports; identify and implement opportunities for automation of processes when possible.
Support referral coordinator with current and standardized referral workflows and policies.
Support Health Records coordinator with current and standardized health record policies and workflows.
New Student Immunization Requirements Management:
Serve as the organizational expert and manager of the process for new student immunization records to ensure record verifications are completed in a timely manner.
Manage team of direct and indirect reports who assist with verification of immunization records and communication with students during peak months.
Work with communications team to establish cadence of communication to new students that clearly identifies the requirements, timeline, and consequences for missing the deadline.
Be the point of contact with Medical Services for the electronic health record, to oversee the immunization requirement process.
Build and maintain administrative functions to streamline the immunization compliance program.
Work with the Campus Partners to facilitate the placement of holds and fees related to immunization noncompliance.
Supervision:
Recruit, train, retain, supervise, and evaluate up to 3.0 FTE professional staff in the HIM unit. Cross train staff to support the needs of the clinic and unit, including in records processing, Patient Access, referrals, and call center.
Conduct planning, mentoring and review sessions; coordinate hiring and disciplinary actions; manage schedule and work responsibilities.
Assign tasks and supervise progress on projects to ensure HWS support needs are met. Support interdepartmental collaboration through providing mentoring and guidance to professional staff.
What You Should Know
This is a hybrid position, expected to be in the office 3-4 days per week. The position will have an anticipated work schedule of Monday – Friday, 8 am – 5 pm. This role is not expected to work University recognized holidays. There will be an occasional need for night and evening work.
What We Can Offer
The salary range for this position is $60,000 – $65,000 annually.

What We Require
Bachelor’s degree from an accredited college or university.
Two years experience in a health care environment working with health care software and/or electronic medical records.
Equivalent combination of education and experience may substitute.

Ability to establish and maintain excellent working relationships with diverse constituents.
Ability to work independently, balance multiple concurrent tasks and responsibilities, and deal with changing priorities.
Knowledge and experience with information privacy laws and regulations in healthcare environment.
Proficiency of computer and office software skills, including in word processing, databases and spreadsheets.
