This role ensures that all safety documentation, training records, and compliance activities are accurately maintained and aligned with legislative requirements and internal policies.AccountabilitiesAdministrative Support:

  • Maintain and update health and safety records, including training logs, inspection reports, and incident documentation.
  • Prepare and distribute safety communications, reports, and meeting minutes.
  • Assist in the coordination of Joint Health & Safety Committee (JHSC) meetings and maintain related documentation.

Compliance & Reporting:

  • Ensure documentation and practices comply with relevant legislation (e.g., OSHA, WSIB, WHMIS).
  • Track and report on safety performance indicators such as incidents, near misses, and corrective actions.
  • Support internal and external audits by preparing required documentation and assisting with follow-up actions.

Training & Communication:

  • Coordinate onboarding safety training and refresher courses for employees and contractors.
  • Maintain training matrices and ensure certifications are current.
  • Assist in the development and distribution of safety bulletins and awareness materials.

Operational Support:

  • Support the execution of risk assessments, safety inspections, and hazard identification processes.
  • Provide support for incident/accident investigations
  • Coordinate with Supervisors in the creation of Return-to-Work plans
  • Assist in the roll-out and testing of a new standardized software platform
  • Monitor PPE inventory and coordinate distribution to employees.
  • Participate in emergency preparedness planning and drills.

Qualifications & Experience:

  • Minimum 2 years of administrative experience in a manufacturing or industrial setting.
  • Working knowledge of occupational health and safety legislation and standards.
  • Proficiency in Microsoft Office and familiarity with safety management systems or EHS software.
  • Health & Safety certification or working towards is an asset.

  • High attention to detail and accuracy in documentation.
  • Effective communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Proactive approach to problem-solving and continuous improvement.

Working Conditions:

  • Primarily office-based with regular visits to the manufacturing floor.
  • Requires the use of personal protective equipment (PPE) when on the production floor.
  • Occasional flexibility in hours may be required to support training or incident response.
