HR Assistant
Overview of Position:
The role of the HR Assistant in Scotland is to provide recruitment and HR administrative support for the UK and the wider EMEA region, ensuring local compliance and best practice. This role supports the HR Business Partners and HR Director for the EMEA region and sits within a global HR team.
If located in the Aberdeen region, the employee will be required to work from the office weekly. The role will have a wide remit including HR administrative support for the wider EMEA region including the co-ordination of recruitment activity. This role will provide vital support on day-to-day HR administration within a busy and dynamic HR team in a fast-paced global environment.
What you will do:
- HR filing, archiving and organisation of HR Filing System (electronic and paper files)
- HR Invoice administration – EMEA region
- Input and updating of employee data in Workday
- Coordination of employee offers of employment and onboarding activities for new starts
- Recruitment support including arranging interviews, and administrative support
- New Starts & Inductions (System set up, benefits enrolment, etc)
- Promotions & Transfers (Document preparation, system updates, payroll administration)
- Leavers & Exit Process (Acknowledgment, system updates, and payroll administration)
- Sickness Absence, Maternity and Paternity (Tracking, Reporting)
- Immigration (Tracking and general administration)
- Salary Planning (Co-ordination, Administration and System Updates)
- Minutes of HR-related meetings
- Administrative management of the performance review process
- Assist in providing information in relation to Ad-Hoc and Management Reporting (Headcount, Absence, Joiners, Leavers, etc.)
- Undertake other duties as may reasonably be required in line with the incumbent’s skills, knowledge, abilities, and personal development opportunities as directed by the HR Director or Business Partner
- Manage the EMEA HR Mailbox and action/distribute accordingly
What we need from you:
Essential:
- CIPD associate level or above
- Proven experience of working within HR
- Excellent administration and organisational skills with a proven history of working in an HR Administrative function
- Excellent communication skills, both written and verbal, and the ability to communicate effectively with a wide variety of people within the organisation and external suppliers
- Strong attention to detail and a proactive thinker
- Ability to use initiative and work both autonomously as well as in a team with excellent time management skills
- Ability to work within a dynamic environment
- Strong knowledge of Microsoft Office and previous experience in utilising an HRIS
- Fluency in English
Desired:
- Any of the following language skills will be beneficial to this role: Arabic, Dutch, French, Portuguese.
- CIPD Level 5 or working towards.
