At HMRC, we are looking for a dynamic and organised individual to join our team as an HR Employment and Pay Policy Administrative Officer and Diary Manager.

This role offers a unique opportunity to contribute to the smooth operation of our Senior Leaders within our Employment and Pay Policy Teams while making a meaningful impact to make HMRC a great place to work.

You will operate in a matrix management structure working across the HR employment policy team and the Pay policy team to provide a wide range of administrative and operational duties to ensure the smooth and efficient running of two busy teams.

You will have a good understanding of the work of both teams to identify, prioritise and contribute to the demanding team delivery requirements.

Job description

You will have an interest in providing efficient administrative support, an excellent team player and able to work effectively with colleagues and stakeholders across HMRC. 

Good organisational skills are essential to organise and plan your work to meet deadlines with strong written and verbal communications skills. You will be analytically minded and able to think critically, analyse data and information, undertake research and solve problems independently and with others.

You will be flexible as you may be deployed onto different work depending on business priorities and required to attend meetings within HMRC’s standard operating hours (between 7am and 8pm).

Person specification

Roles and responsibilities will include:

  • Processing and managing the Imperial Service Medal operation. This involves processing and sending out recognition medals for colleagues that have left HMRC. Liaising with the departmental honours secretary and organising any medals received from the Cabinet Office to HMRC to standard procedure and set timescales.
  • Diary management for four Senior Colleagues. This involves organising and maintaining multiple calendars by scheduling appointments, meetings and events ensuring efficient time management by prioritising tasks, co-ordinating with stakeholders and proactively managing conflicts.
  • Making and booking travel arrangements.
  • Organising large team events or conferences.
  • Providing general and bespoke administrative support to the employment and pay policy teams. This involves using various applications, systems, and corporate databases to create, update and maintain internal financial records accurately.
  • Resolving queries and complaints in a courteous and professional manner.
  • Acting as secretariat for multiple forums and taking notes at meetings.
  • Providing administrative support on swim lane process mapping.
  • Supporting the administration of HMRC’s employee benefits. This includes responding to general queries, liaising with several stakeholders across different grades within the business and authorising where appropriate administrator access to issue reward vouchers. May include monthly review meetings with the reward supplier to further improve the reward process for HMRC staff.
  • Additional ad hoc administrative and operational tasks as required.
  • Most of the work you will do will be desk based, however, there may be some element of travel required if you are required to assist a senior colleague in face-to-face meetings at other HMRC offices across the UK.

Essential Criteria

  • Experience working as a diary manager or experience in a similar busy matrix managed environment.
  • Experience and the ability of working in a fast-paced, changing environment with competing demands managing your own time and that of the Senior Officers in a highly organised manner, prioritising multiple demands, good organisational skills, and the ability to understand the HR Employment and Pay Team’s priorities and act accordingly.
  • Some experience of building and maintaining working relationships with senior leaders/managing upwards.
  • Experience of independently managing and leading an operational process to set procedures and to service level agreements.
  • Proficient ability of working with Office 365 (SharePoint, Outlook, OneNote, and Excel) and overall good aptitude to IT systems and databases.
  • Enthusiasm to build a good understanding of the HR Employment and Pay Team’s priorities and the work of the directorate.
  • The ability to communicate verbally and in writing and build effective working relationships with both peers and senior colleagues.

We offer a generous leave allowance, starting at 25 days and increasing by a day for every year of qualifying service up to a maximum of 30 days.
