Summary of position

The Human Resource Assistant plays a vital role in supporting the Human Resources department by providing HR administrative assistance and ensuring the smooth operation of HR processes and procedures. Working under the supervision of HR manager, the HR Assistant assists with various HR functions, including maintain employee records, recruitment, onboarding, timesheet and leave management, etc.

The Human Resource Assistant:

Purpose: The purpose of an HR Assistant is to provide administrative support to the HR department. This includes tasks such as maintaining employee records, processing paperwork, and scheduling interviews.

Engagement: HR Assistants will work closely with HR manager and other team members to coordinate various HR activities.

Delivery: HR Assistants to ensure the accuracy and integrity of HR data and documentation. Mistakes in employee records or compliance-related documents can have serious consequences for the organization

Objective 1: Filling Employee Records

  • Maintain and update employee records, both hard and soft copies
  • Manage HR databases, ensuring data accuracy and security.
  • Organize and maintain personnel files in accordance with organizational policies and legal requirements.

Objective 2: Recruitment & Onboarding

  • Assist in Scheduling interviews and coordinate the recruitment process with HR and hiring managers.
  • Assist with the onboarding process, ensuring new hires have a smooth transition and are well integrated into the organization.
  • Conduct initial orientation for new employees, providing information on policies, benefits, and procedures.

Objective 3: Leave Management

  • Administer and track employee leave requests, including vacation, sick leave, and other types of leave.
  • Ensure leave balances are accurately maintained and updated in the HR system.
  • Communicate leave policies and procedures to employees and respond to related inquiries.
  • Prepare leave reports for management and ensure compliance with organizational policies and legal requirements.

Objective 4: Timesheet Management

  • Collect and review employee timesheets for accuracy and completeness.
  • Ensure timely submission and approval of timesheets by supervisors.
  • Address any discrepancies or issues related to timesheet entries.
  • Updating the timesheet tracking schedule monthly and sharing with the Country HR Department by the 20th every month

Requirements

Required Qualifications and Professional Experience

  • Bachelor’s degree/Diploma in Human Resources, Business Administration, or related field.
  • 2 Years’ of proven work experience in INGO or UN
  • Proven experience as an HR Assistant or similar role, preferably in an NGO or non-profit environment.

Required Skills & Competencies

  • Familiarity with HR software and MS Office
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality.
  • Knowledge of labor laws and regulations.
