We are in search of a Human Resources (HR) Assistant to join our team based in Markham, Ontario. This role is pivotal within our non-profit organization, where you will be providing administrative support within the HR department, processing employee requests, and updating HR databases.Responsibilities:

  • Undertake the task of maintaining both soft and hard copies of employee records
  • Ensure the HR databases are up-to-date with details such as new hires, separations, vacation, and sick leaves
  • Assist with payroll preparation by providing necessary data, including absences, bonuses, and leaves
  • Prepare necessary paperwork related to HR policies and procedures
  • Process employee requests promptly and provide necessary information
  • Coordinate HR projects, meetings, and training seminars efficiently
  • Work closely with the recruitment team to post job ads on career pages and process incoming resumes
  • Manage the HR department’s telephone center and address queries accordingly
  • Prepare reports and presentations for internal communication purposes
  • Provide orientations for new employees by sharing onboarding packages and explaining company policies
  • Utilize skills in Calendar Management, Executive Presentations, Customer Service, External Communication, Human Resources (HR) Administration, Internal Reporting, Time Management, Basic Office Skills, and Expense Reports.
  • A minimum of 2 years of experience working in a similar role within the Human Resources department.
  • Demonstrated proficiency in calendar management, ensuring effective scheduling and organization of meetings and events.
  • Exceptional abilities in crafting executive presentations and reports, showcasing clear and concise communication skills.
  • A strong background in customer service, with a focus on addressing internal and external queries and concerns with professionalism and empathy.
  • Experience in external communication, effectively liaising with vendors, partners, and stakeholders.
  • In-depth knowledge of Human Resources (HR) administration, including but not limited to: employee records management, recruitment support, and policy implementation.
  • Proven experience in internal reporting, with a knack for creating comprehensive and accurate reports.
  • Excellent time management skills, with the ability to prioritize tasks and work under pressure.
  • Proficiency in basic office skills such as filing, data entry, and document management.
  • Experience in managing expense reports, ensuring all expenses are recorded accurately and in a timely manner.
