About the Position
CIVIC is nothing more than the people who devote their time and energy to supporting and empowering civilians in conflict regions. Our employees are the main ingredient to our success. The role of the Human Resources Officer is a key component of CIVIC’s strategies aimed at creating and retaining a strong workforce and building a structure that enables all employees to reach their full potential.
This position involves support to the Director of People and Culture, based in The Hague, the Netherlands, with a clear focus on supporting our staff in Washington DC and New York City ensuring efficient salary and benefits administration.
Key Functions
The responsibilities include:
- Employee administration
The successful candidate assumes responsibility for several administrative and operational tasks within the realm of Human Resources management, including:
- HR data management – Assume responsibility for HR data integrity in our HR information system, BambooHR. This includes ensuring that employee data is complete and up-to-date, that technical issues are escalated, and managing access while maintaining appropriate confidentiality about sensitive information.
- Payroll support – Process the HR side of monthly payroll for our offices in the United States.
- Onboarding – Welcome new staff based in the United States, introduce them to our organization, and initiative onboarding briefings with all key departments. Also ensure that they complete all required training modules.
- Benefits management – Liaise with external benefits providers, such as health insurers, pension fund providers, and counseling services. Respond to or delegate employee queries regarding their benefits.
- Manage the internship program – Ensure that our interns in the United States have a great experience at CIVIC by organizing informal meetings and regularly checking in with their supervisors to ensure that they have the opportunity to contribute in a way that fosters their professional development.
- Project work
The scope of your project work would range from small “quick win” projects to large-scale operations that shape the structure of the entire organization. Examples are:
- Conduct research and review the final work product when we revise existing or develop new staff policies.
- Come up with ways to increase ROI related to existing staff benefits and streamline the management of benefits across offices in the United States. Improve guidelines and lead training sessions to minimize the administrative effort associated with offering benefits.
- Streamline the efficient use of payroll and benefit administration platforms and ensure alignment to our accounting software.
Requirements/Qualifications
We are looking for an exceptional individual who is passionate about people and can climb a steep learning curve in an international environment. Specifically, we are looking for candidates who meet the following criteria:
- At least two (2) years of work experience in Human Resources/People Operations of a humanitarian non-governmental organization
- Prior experience working in an international and multicultural environment
- A university degree or an appropriate combination of education and professional experience
- Fluency in English
- Proactive when solving problems and proposing future innovations without being asked
- Possess excellent verbal and written communication skills
- You have an eye for detail and are passionate about creating high-quality work products.
- Experience using an integrated Human Resources Information Systems and payroll and benefits administration platforms (such as BambooHR and ADP).
