THE ORGANIZATIONAL SETTING

ICAO States Today is a publication that has been released since 2015 on three occasions, including A/39, A/40, and A/41.  It is a collection of profiles from Member States which highlights aviation and country facts of every ICAO Member State. The publication offers a free complimentary basic (one-page) profile for each Member State of ICAO and provides additional opportunities, proven successful in previous edition releases. The publication includes paid State Profiles in addition to advertisement placement for industry partners. In 2025, new digital promotions will be included through channels such as ICAO TV and UnitingAviation.com.

The Product Management Unit (PTM) within RPM supports the organization’s strategic objectives by expanding ICAO brand awareness and publishing important information via the following media channels. In addition, Business development and sales of products and services that generate revenue for ICAO are the most important aspects of RPM. The products, services, and related activities coordinated within the Unit consist of, but are not limited to, events, partnerships, and licensing of ICAO Intellectual Properties (IP); advertising sales, both digital and print; training activities; and databases and statistical products.

The ICAO States Today Publication Coordinator will report to the Project Manager, Product Development of the PTM Unit and, under the Head’s guidance, will work with the project lead from the PTM team to support and coordinate the ICAO States Today Publication project within ICAO.

MAJOR DUTIES AND RESPONSIBILITIES
Function 1 (incl. expected results)

Provides project coordination support for the development of the ICAO States Today publication, achieving results such as:

  • Work collaboratively with the editor, graphic designer and the project lead to coordinate insightful content for the publication;
  • Follow the overall publication project timeline and report to the project lead all achieved tasks pertaining to each step of the project;
  • Coordinate multiple administrative tasks and deadlines;
  • Manage information sharing and communications such as progress reports;
  • Handle the first content quality control check of the entire publication before the final review by the editor;
  • Work with the project lead to ensure the publication is delivered on-time, and processed through the appropriate editorial and review procedure.
Function 2 (incl. expected results)

Provides project coordination support for marketing efforts, achieving results such as:

  • Coordinate with the marketing team and graphic designer all promotional campaigns for the publication;
  • Work collaboratively with the editor, graphic designer, and project lead to develop the branding and layout of the publication;
  • Work with the graphic designer and marketing team to develop a marketing plan for the launch of the new edition;
  • Work with the graphic designer and marketing team to ensure the digital channels (UnitingAviation.com and ICAO TV) are properly set and are consistent with the publication in terms of image.

Function 3 (incl. expected results)

Coordinates the content collection of the publication and digital channels with editor, Member State focal points, graphic designer and sales agent, as well as integrates the content into the ICAO States Today publication, UnitingAviation.com and ICAO TV, achieving results such as:

  • Handle incoming emails received through the ICAO States Today inbox;
  • Coordinate the content collection from the Member States, industry and sales agent for the publication and digital channels;
  • Keep track of all received files and media assets;
  • Coordinate industry advertisements with sales agent.

Function 4 (incl. expected results)

CRM management and electronic data tools/filing, achieving results such as:

  • Utilise CRM tools such as Microsoft Dynamics to capture customer information for industry leads and Member States’ focal points;
  • Capture all sales reports and client data as well as share real-time information via electronic task management tools;
  • Create invoices and collection of funds from clients as required;
  • Email marketing campaigns directly using CRM to assist in developing new sales opportunities.

Additional duties as required

  • Given the dynamic nature of this assignment, the priority of tasks and duties may shift over time based on ICAO needs
QUALIFICATIONS AND EXPERIENCE
Educational background

Essential

  • CEGEP degree in communications, project management or administration.

Desirable

  • Courses in business or project management.
Professional experience and Knowledge

Essential

Advertisement
  • Experience in aviation and/or with ICAO and/or UN agencies;
  • Interpersonal skills that create openness and trust among colleagues;
  • Proficient writing skills with proper email, telephone, and social media etiquette;
  • Presentation and communication skills, ability to present in front of a group;
  • Organised individual who thrives in pressure situations;
  • Ability to work as a team player in a cross-functional structure;
  • Capability to work with Microsoft Office suite;
  • Strong knowledge and understanding of ICAO related publications and the role they play in the aviation marketplace;
  • Ability to manage multiple tasks and deadlines.

Desirable

  • Familiarity with the aviation industry and ICAO Member States.
Language Skills
Essential
  • Fluent reading, writing and speaking abilities in English.
Desirable
  • A working knowledge of any other language of the Organization (Arabic, Chinese, French, Russian, Spanish).
CONDITIONS OF EMPLOYMENT

It should be noted that this consultancy is to be filled for a fixed period of nine (9) months. This is a full-time position.

Please note that the monthly rate for Band A varies from $3,991 to $5,172.
