SUMMARY:

The Implant Coordinator is responsible for the end-to-end management, tracking, and coordination of all implantable devices used in perioperative services, including biological tissue, orthopedic hardware, cardiac/vascular implants, and consigned or loaner systems. This role ensures regulatory compliance, accurate documentation, operational readiness, and seamless coordination between surgical teams, vendors, Supply Chain, Sterile Processing, and Materials Management.

The position functions similarly to a materials expeditor, ensuring the right implant, at the right time, in the right location to support safe surgical care.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Implant Forecasting & Case Readiness

• Review daily and future OR schedules to anticipate implant needs based on procedure type, surgeon preference cards, and vendor requirements.
• Identify potential shortages, conflicts, or backorders early and escalate or resolve before the day of surgery.
• Coordinate delivery and readiness of consigned, loaned, or specialty implant systems.

Inventory & Chain-of-Custody Management

• Maintain accurate implant and tissue inventory levels; rotate stock to prevent expiration.
• Ensure full chain-of-custody tracking for all biological implants in accordance with FDA, AATB, and Joint Commission standards.
• Oversee receipt, labeling, storage, and documentation of all implants from delivery to implantation.

Vendor & Supplier Coordination

• Communicate regularly with suppliers and implant representatives to confirm product availability, delivery times, case coverage, and consignment status.
• Verify tray completeness and instrument functionality for vendor-provided systems.
• Coordinate return of unused, loaner, or expired items; resolve any discrepancies.

Material Movement & OR Support

• Ensure implants and loaner trays are delivered to the correct OR or Sterile Processing location at the right time.
• Work closely with SPD to verify trays are sterilized, complete, and ready for scheduled cases.
• Serve as liaison during implant-related issues on the day of surgery (missing items, incorrect sizes, documentation needs).

Documentation, Billing, & Compliance

• Accurately document all implant usage in the electronic medical record and/or tissue tracking software.
• Reconcile implant usage with charge capture, ensuring all items are billed correctly.
• Manage implant recalls and safety alerts, coordinating with Risk Management and clinical leadership.
• Maintain regulatory documentation and prepare for compliance surveys (Joint Commission, VA requirements, etc.).

Cross-Functional Coordination

• Collaborate with OR leadership, service line coordinators, surgeons, materials management, procurement, sterile processing, and finance to support procedural readiness.
• Provide education or orientation for OR staff in implant tracking workflows, policy updates, and new device management.

• Participate in daily huddles, preference card reviews, and improvement projects related to surgical implants.

SKILLS / ABILITIES / COMPETENCIES

• Qualifications
• Bachelor’s degree in healthcare, supply chain, or related field preferred; equivalent experience accepted.
• Experience in perioperative services, SPD, supply chain, inventory management, or materials expediting required.
• RN, LPN, CST, or implant/tissue tracking certification preferred.
• Working knowledge of surgical procedures, implant types, and OR workflow strongly preferred.
• Strong skills in documentation, communication, vendor coordination, and inventory systems (EHR, tissue tracking, ERP).
• Ability to work in a fast-paced surgical environment and manage multiple priorities.

WORKING CONDITIONS

• Work occurs in sterile and sub-sterile environments requiring full surgical attire (scrubs, hats, gloves, booties, gowns, goggles). Temperatures may exceed 70F for extended periods. The environment is fast-paced, high-acuity, and detail-intensive. Frequent exposure to body fluids, tissue, needles, blades, and other sharp instruments requires strict adherence to safety protocols.

$31.00-$51.16
