We are looking for a Information Management Program Specialist (IM Specialist) to be responsible for the management of CNL’s Information Management Requirements, processes and tools. What you will be doing!
- Management and staff on the requirements for, and the application of Information Asset Protection controls, including designations (aka sensitivity labels) and DLP (Data Loss Prevention).
- Identifying, quantifying and reporting on the risks associated with the different types of sensitive information at CNL, mapping the processes, systems and communication channels used in their handling and suggesting improvements to increasing the levels of protection, and facilitating compliance.
- Developing and/ or oversee the development and implementation of processes, tools, training and other initiatives designed to improve the overall protection of information assets, and track the progress and success of these initiatives.
- Maintaining Information Management process documentation.
- Establishing and manages strong working relationships with multiple-level contacts across the Company to communicate and report on highly complex, sensitive, or privileged information.
- Participating in internal and external audits, demonstrating how CNL’s Information Management processes perform, developing action plans to respond to observations/ findings, and issues brought up by employees.
- Developing and sustain the engagement of process and records owner as well as data stewards in order to support them in implementing IM requirements and controls.
- Providing input into strategic and tactical plans.
- Anticipating mid-to-longer term needs on behalf of the Company, identify opportunities for improving information-driven processes, within and without IM, developing business cases to demonstrate the benefits of proceeding with the improvement.
- Leading IM’s strategy to leverage cloud solutions for delivering IM processes and content to employees.
- Maintaining engagement with all projects and initiatives in order to build automatic compliance with IM requirements into all systems and processes, notably in the areas of information retention, protection and access to work instructions.
- Leading the development of formal and informal Change Management plans for IM’s initiatives, and other information-centric initiatives.
- Leading the branch’s communication strategy, maintain an up-to-date communications plan and ensuring it balances new information with reminders, and provide fair exposure to all areas of responsibility under IM.
- Leading the development and maintenance of communication and outreach resources (on the intranet, SharePoint online, ServiceCNL, etc.), ensuring that resources and messages are written and timed to maximize impacts.
- Overseeing vendor and/ or contractor performance, tracking expenditures against scope, and taking appropriate actions to ensure deliverables are met and budgets respected.
- Providing input in the creation and setting of Division and Department objectives; set objectives for own direct reports and/ or provide objectives for employees delivering on information-centric initiatives.
- Providing leadership to direct report or matrixed employees, supporting their efforts; and to CNL in matters of IM requirements and opportunities, in order to influence decisions and projects.
What we are looking for:
- University degree in a relevant discipline (e.g. Information Management, Computer Science, Business Administration), or 15 years of practical experience with increasing levels of responsibility.
- Extensive (8+ years) professional-level experience related to the management of Information Management & Technologies requirements, program and project implementation;
- Experience leading, coaching and negotiating with teams and superiors;
- Experience and leadership ability in core business operations functions such as strategic planning and implementation, management of databases, and internal compliance, in a complex, dynamic environment;
- Experience developing, implementing and monitoring operational improvements resulting in more efficient and effective processes, procedures and plans;
- Experience using interpersonal skills to effectively explain, negotiate, persuade, and build consensus among diverse stakeholders; demonstrated ability to establish and maintain effective working relations with all levels of personnel, both internal and external to the Company and troubleshoot/ escalate issues effectively
- Demonstrated ability to lead and motivate teams
- Proven ability to build and nurture constructive relationships and partnerships across internal organizations/groups, and with industry and external regulators
- Demonstrated ability to develop well-informed advice and strategies that are sensitive to the various needs of multiple stakeholders and partners, reflecting the strategic direction of CNL, and positioning CNL for success
- Demonstrated ability to translate complex ideas and technical requirements into plain and easy to understand language
- Advanced knowledge of Information Management principles
- Demonstrated capability to turn IM principles into practical processes and tools
- Knowledge of industry best practices and standards (ISO 15489, ISO 9001, N286-12)
- Knowledge of information protection requirements
- Working experience with leading document management platforms (SharePoint Online, OpenText Content Server)
Security clearance eligibility required: Level 2 Secret which has a minimum requirement of 7 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat “Standard on Security Screening” and the “Policy on Government Security”.

Location of Work – Hybrid
- This role is based out of CNL’s Chalk River site, however, subject to the terms of this agreement, the primary work location will be remote. The role will require some regular and frequent attendance at the Chalk River site. The schedule and frequency will be determined by discussions with the manager as well as internal client and project needs. CNL may require travel from time to time, as necessary.
