The Information Product Management Specialist will support all activities driving the effective procurement and management of business and legal research tools and databases. The role will manage a portfolio of products in alignment with the global and regional Information & Research (I&R) strategies and global Procurement strategy and guidelines.
The role-holder will assist the Information Product Management (IPM) Service Owner, and global IPM Specialist Lead with implementing strategic vendor management initiatives and strengthening relationships with key vendors, with an increased focus on return on investment and value-add. They will also assist the Service Owner with supervising IPM Assistants when necessary.
In this role the individual will drive the procurement and management of global and regional Generative AI (GenAI) products and subscriptions for the Knowledge team, ensuring alignment with the firm’s global GenAI program, strategy, and AI policies and processes. They will actively monitor and manage the usage of GenAI products, and support the implementation of strategic vendor management initiatives focusing on GenAI while strengthening relationships with key vendors.
Responsibilities:
Service Orientation
- Build and nurture strong internal relationships across Knowledge including Regional I&R Leads and teams, Procurement, Finance, Technology, and Operations teams, and external relationships with suppliers of regional and global information resources and products to ensure effective collaboration and mutual success
- Together with the IPM Service Owner and global IPM Lead supports regional I&R Leads and teams in managing, negotiating, and reviewing supplier contracts for products, including those with GenAI capabilities, per global Procurement guidelines and budget parameters, and achieving global, and regional, and local office savings targets
- Utilize effective communication and persuasive techniques to influence stakeholders and drive positive outcomes in projects and initiatives; Cultivate responsive, positive, and productive relationships, delivering value through effective communication with stakeholders and key relationships
- Promote the I&R brand and services, and IPM and GenAI policies, processes, and guidelines globally and regionally
- Contribute substantively to the provision of IPM services by working on Knowledge projects and initiatives as required, with a specific emphasis on being a subject matter expert on GenAI
Knowledge & Expertise
- Possess expert knowledge of the suite of I&R resources and products offered by the Firm globally, regionally, and locally, promoting their value, features, and functionality to other Knowledge colleagues, business professionals, and lawyers
- Maintain and continually develop subject matter expertise with a focus on GenAI products for research, drafting, document analysis, and other lawyer efficiencies; Be actively aware of developments internally and within the market on GenAI, information product management services, new practices, and approaches
- Leverage GenAI tools to enhance productivity, drive innovation, and improve the quality of outputs across practice groups, sectors, and business functions
- Manage access requests and troubleshoot access issues for the Firm’s portfolio of products, delegating as appropriate. Answers questions relating to licensing issues and provides advice on appropriate use, ensuring adherence to the Firm’s Generative AI policies
- Conduct thorough data analysis to identify trends, patterns, and insights that inform business decisions and strategies
- Help implement global and regional guidelines for new product requests, curating business cases, conducting trials, product assessments, and gathering feedback. This also includes product cancellations and rationalizations
- Lead on trialing new products, engaging with stakeholders, budget managers, and potential users to include post-trial surveys, and reaching evidence-based business decisions
- Lead on the delivery of information resources and product outreach and training plans, including tailoring training to educate specific groups and meet specific needs
- Committed to continuous improvements of IPM policies and processes to incorporate efficiencies, new procedures, upgrades, and changes to best practice
- Where appropriate assist with reviews and analyses of global and regional I&R subscription budgets, and support the Knowledge leadership with the global Knowledge budget, to achieve the best outcomes between budget parameters and appropriate product mix
People Management
- Take direction from the IPM Service Owner and IPM Lead when required and work collaboratively with other I&R and Knowledge business professionals in achieving strategic goals
- Assist the Service Owner with the supervision of IPM Assistants as and when necessary
- Operational Efficiencies, Quality, and Risk Mitigation
- Support the Service Owner with the management of service-related issues and stakeholder feedback, troubleshooting and delivering continuous service improvements to maintain quality assurance and minimize business impact and risk, escalating any challenges promptly where appropriate
- Support with the planning, scheduling, prioritizing and delivering of all routine and non-routine work and the effective delivery of IPM inquiries and requests, providing oversight and guidance as required
- Act as internal champion for Knowledge, I&R, and GenAI products and tools, ensuring that business professionals and lawyers engage with them effectively
- Champions the appropriate use of all products per agreed terms and conditions of use, mitigating reputational damage to the firm., with a specific emphasis on GenAI
Skills and Experience:
- Relevant undergraduate degree or post-graduate qualification (library, information science, legal information product procurement) desirable
- Proficiency and experience utilizing and managing AI tools and platforms, including proficiency with data analysis
- Relevant experience in knowledge, technology, Information and research, and global procurement in a professional services environment; familiarity with library management systems desirable
- Extensive experience in dealing with information suppliers and vendors, negotiating pricing and contracts at a regional and/or global level
- Able to manage multiple stakeholders, build strong relationships virtually, communicate effectively, comfortable working in large, complex environments, credible and persuasive
- Excellent organizational skills; ability to prioritize and manage time to meet deadlines
- Demonstrated ability to drive results and a sense of urgency in setting strategies and executing against the objectives
