Job description

Purpose of the post 

The IMA Legal Directorate is seeking to hire a Legal Administrator. 

The post holder will work within the Legal Directorate. The post holder will report to a Legal Adviser but will work with all members of the Legal Directorate, and sometimes with colleagues across the IMA, to provide all necessary administrative assistance to the Legal Directorate. 

The Legal Directorate provide legal advice to the Board, Executive Team, Operational Delivery and Governance and Corporate Services Directorate of the IMA. The Legal Directorate is also responsible for conducting all litigation on behalf of the IMA, scrutinising the legislative framework across the UK and Gibraltar and contribute to external communications to promote awareness of the IMA and the rights of EU, EEA EFTA citizens and their family members. 

The primary role of the Legal Administrative Officer will be to contribute to the successful delivery of legal services to IMA colleagues and the Board through the provision of administrative assistance to the Legal Directorate. You will have the full support both from within the Legal Directorate and from colleagues across the IMA. 

We offer tailored learning and development required for the post holder to be successful in this role as well as support and guidance to progress at the IMA. 

This role will not provide experience which is Qualifying Work Experience for the purposes of the Solicitors Regulation Authority’s Solicitors Qualifying Examination route. Anyone wishing to secure Qualifying Work Experience at the IMA can apply as part of the next Trainee Solicitor scheme recruitment due in Spring 2025 for an Autumn 2025 start. 

Responsibilities 

The successful candidate will be required to carry out legal administrative support in relation to the following matters: 

  • organising meetings, training and managing diaries,
  • development and maintenance of the IMA Legal Team’s knowledge/file management system,
  • monitoring of requests for legal support,
  • handling facilities, resources and financial requests on behalf of the legal team. This will include setting up suppliers, raising purchase orders, management of invoices and recording of financial expenditure;
  • assisting in maintaining training materials and guidance;
  • administration relating to the IMA’s trainee solicitor scheme; and
  • the IMA’s litigation functions, including the filing of documents with the courts.

The duties/responsibilities listed above describe the post and are not intended to be exhaustive. The Job Holder is expected to accept reasonable alterations and additional tasks of a similar level that may be necessary.

Essential Skills 

  • Have good general IT skills including proficiency in Microsoft Word and basic skills in Excel.
  • Strong organisational, time and file management skills with a good attention to detail;
  • Strong verbal and written skills and ability to communicate effectively with a wide range of individuals;
  • Have a strong commitment to delivering a high-quality service and an ability to apply learning from previous experiences and on the job activities; and
  • Be self-motivated, resourceful and use own initiative to anticipate needs, working proactively to ensure these are met.

Mae’r Gyfarwyddiaeth Gyfreithiol hefyd yn gyfrifol am gynnal yr holl ymgyfreitha ar ran yr IMA, gan graffu ar y fframwaith deddfwriaethol ar draws y DU a Gibraltar a chyfrannu at gyfathrebu allanol i hyrwyddo ymwybyddiaeth o’r IMA a hawliau dinasyddion yr UE, gwledydd EFTA yn yr Ardal Economaidd Ewropeaidd, a’u teuluoedd. 

Prif rôl y Swyddog Gweinyddol Cyfreithiol fydd cyfrannu at ddarparu gwasanaethau cyfreithiol yn llwyddiannus i gydweithwyr IMA a’r Bwrdd drwy ddarparu cymorth gweinyddol i’r Gyfarwyddiaeth Gyfreithiol. Byddwch yn cael y gefnogaeth lawn gan y Gyfarwyddiaeth Gyfreithiol a chan gydweithwyr ar draws yr IMA. 

Rydym yn cynnig rhaglenni dysgu a datblygu wedi’u teilwra, sy’n ofynnol er mwyn i ddeiliad y swydd fod yn llwyddiannus yn y swydd hon. Rydym hefyd yn cynnig cymorth ac arweiniad er mwyn iddynt allu symud ymlaen yn yr IMA. 

Ni fydd y swydd hon yn darparu profiad sy’n Brofiad Gwaith Cymwys at ddibenion llwybr Arholiad Cymhwyso Cyfreithwyr yr Awdurdod Rheoleiddio Cyfreithwyr. Gall unrhyw un sy’n dymuno sicrhau Profiad Gwaith Cymwys yn yr IMA wneud cais ar gyfer y cynllun Cyfreithwyr dan Hyfforddiant nesaf. Bydd y broses recriwtio yn cael ei chynnal yng ngwanwyn 2025, gyda’r cynllun yn dechrau yn ystod hydref 2025.

Bydd gofyn i’r ymgeisydd llwyddiannus ddarparu cymorth gweinyddol cyfreithiol mewn perthynas â’r materion canlynol: 

  • trefnu cyfarfodydd, hyfforddiant a rheoli dyddiaduron,
  • datblygu a chynnal system rheoli gwybodaeth/ffeil Tîm Cyfreithiol yr IMA,
  • monitro ceisiadau am gymorth cyfreithiol,
  • delio â cheisiadau ariannol, adnoddau a chyfleusterau ar ran y tîm cyfreithiol. Bydd hyn yn cynnwys sefydlu cyflenwyr, codi archebion prynu, rheoli anfonebau a chofnodi gwariant;
  • helpu i gynnal deunyddiau hyfforddi ac arweiniad;
  • gwaith gweinyddol sy’n ymwneud â chynllun cyfreithwyr dan hyfforddiant yr IMA; a
  • swyddogaethau ymgyfreitha’r IMA, gan gynnwys ffeilio dogfennau gyda’r llysoedd.
